Description The Employee Onboarding Coordinator is a detail-oriented and discreet professional responsible for managing onboarding. This role requires strong organization skills, excellent communication, and the ability to handle sensitive information. A high performer in this position will ensure the new hires are onboarded smoothy, records are maintained accurately, and compliance standards are consistently met. The Employee onboarding Coordinator will report to the assistant controller and take direction from the controller. This role plays a critical part in impression of company core values, employee experience and protecting the dealership. ESSENTIAL FUNCTIONS AND DUTIES Onboarding, Orientation and Recruitment Coordinate all aspects of the onboarding process to ensure a smooth transition for new employees Prepare and distribute new hire documentation, ensuring accuracy and compliance with policies Initiate System Access Request (SAR) and emails are generated for all new hires. Schedule and support orientation activities to provide a positive first-day experience. Track completion of mandatory new hire training courses and ensure compliance deadlines are met Assist management with conducting initial pre-screening calls to assess candidates interest and availability. Coordinate interview scheduling with department managers Ensure Predictive Index Assessments are completed. Employee Records and Compliance Maintain accurate and up-to-date employee records in Paylocity and other systems Scan, audit, and electronically file confidential employee documents to their proper locations. Ensure compliance with state and federal requirements for all employee files and reporting. Relay any compliance concerns, risks, or employee related issues discreetly to upper management Employee Support and Engagement Respond to employees questions regarding onboarding, benefit processes, and general resources Assist with planning employee recognition, team-building activities, and office events Assist with the planning and execution of dealership and community events. General and Other Duties Send weekly onboarding, training, and compliance reporting to management, including upper management and department heads Assist with logins and termination's for IT. Other duties as assigned. Constructively communicate with other dealership personnel as required to satisfy customer needs. Report to management any situation or condition that jeopardizes the safety, welfare, or integrity of the dealership, its personnel, or customers. Maintain personal grooming, hygiene, and uniform standards according to departmental policies. Arrive at work, take breaks, and depart work at the times designated by management. Attending meetings and training as scheduled. Protects organization’s value by keeping information confidential.
