JOB SUMMARY

We are seeking a detail-oriented and organized ESP Program Coordinator to support the successful delivery of employment programs for newcomers. Reporting to the Manager of Employment and Career Development, the ESP Coordinator oversees the day-to-day operations of the ESP program, which equips unemployed newcomers with essential employment skills and occupation-specific training to help them find meaningful work in Canada. Key responsibilities include client recruitment, data entry and reporting, and providing ongoing support to instructors to ensure smooth program delivery.

KNOWLEDGE AND EXPERIENCE:

  • Strong understanding of the Canadian labour market, workplace practices, job search strategies, Alberta Employment Standards, and employment services available to newcomers in Calgary and surrounding areas
  • Knowledge of budget planning and monitoring
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Access) and internet-based applications

EDUCATION AND QUALIFICATIONS:

  • Bachelor’s degree in Business Administration, Human Services, Education, or a related field; a combination of diploma, relevant experience, and transferrable skills will also be considered
  • Minimum of three years’ experience in employment services, preferably in a not-for-profit or immigrant-serving organization
  • Availability to work flexible hours, including evenings and occasional weekends

Responsibilities

. Lead the recruitment and intake process for ESP program clients, including interviewing and selecting participants based on specific program eligibility criteria
· Manage both physical and electronic client files, including attendance, evaluations, and related documentation, ensuring all records are organized, secure, and compliant with confidentiality standards
· Maintain and update databases of program contacts, including clients, employers, guest speakers, and community partners
· Promote the ESP programs using free and accessible media platforms to support outreach and visibility
· Plan and facilitate orientation sessions for each new intake and coordinate graduation ceremonies upon program completion
· Serve as a liaison with employers, corporations, and agencies to build partnerships that support client practicum placements and employment opportunities; gather employer feedback on client performance
· Coordinate field trips to job fairs and industry-related events; invite guest speakers from professional organizations to enhance learning and networking opportunities for clients
· Support timely and accurate monthly reporting by entering data into iCARE and assisting the manager with IRCC reporting requirements
· Conduct follow-up with graduates for 90 days post-program to monitor employment outcomes and provide additional support as needed
· Provide ongoing support to ESP instructors and volunteers to ensure seamless program delivery
· Represent TIES at internal and external meetings, including staff meetings, department meetings, AGMs, community job fairs, and inter-agency councils and committees
· Maintain and update the ESP resource library, including career development and computer-related materials
· Assist other departments and perform additional duties as assigned by the supervisor
