Position Overview: The Engineering Coordinator provides organizational and administrative support to the Engineering Department and its team members. They must be highly motivated, eager, and ready to accept additional responsibilities when needed. The ideal candidate has a friendly demeanor, the ability to learn new computer programs, can multitask, and complete projects in a timely manner. This person should demonstrate exceptional customer service and problem-solving skills and must thrive in a dynamic, guest-focused environment.

Responsibilities
  • Addresses inquiries from guests and colleagues via telephone and in person using clear, appropriate, and professional language.
  • Completes weekly payroll processing for the Engineering Department.
  • Gathers and inputs departmental schedules into Dimensions (or applicable scheduling system).
  • Tracks and maintains updates on departmental tasks, goals, and accomplishments.
  • Reconciles P-Card purchases, ensuring accurate coding and proper maintenance of receipts.
  • Runs weekly expense reports to track and balance against the operations checkbook.
  • Creates purchase orders for operational goods and services.
  • Tracks daily payroll and communicates any variances to forecast in a timely manner.
  • Ensure all time edits are completed by 10:00 AM daily.
  • Schedules interviews for job applicants; ensures timely and accurate updates are provided to Human Resources.
  • Takes detailed notes during operations meetings and ensures proper communication is shared with all relevant leaders.
  • Provides administrative support to Engineering leadership.
  • Maintains organized filing systems and ensures confidentiality of sensitive information.
  • Assists with internal communications, guest service follow-ups, and other operational documentation as needed.
  • Performs other duties or special projects as assigned by the Director of Engineering or Assistant Director of Engineering.
