Engineering Data Coordinator 8300 Engineering-Administration Schedule: 7:00am to 3:30 Monday - Friday with some occasional OT or shift accommodation. Position is on-site. About the Position • Works under general direction of the Director of Engineering • Works under direct supervision of Director of Engineering and Manager Maintenance Services • Frequent contacts with hospital personnel, and visitors for purpose of exchanging information Overview of Responsibilities • Administrative Assistance and support for the entire Engineering Department. This includes but not limited too secretarial functions, meeting minutes, purchase orders, drawing files, maintenance manuals for equipment, etc. a. Compiles reports for IDEM, ISDH and DNV and other governmental agencies as directed. b. Acts as a resource for others to resolve TMS Work order System issues. c. Works with IT analysts as needed for updating TMS system. • Assists the Director of Engineering and Systems Coordinator in project budget accounting by maintaining a log of all purchases by project. • Completes a monthly report for all building/accounts as requested by the Director of Engineering that engineering is responsible for from the GL history. • TMS Work Request System assignment and distribution of work requests in the absence of the Maintenance Manager/ Director of Engineering as directed by the Director of Engineering. • Track labor, materials, and other expenses for contracted services and prepare associated reports and invoices. • Track labor, materials, and other expenses for Engineering projects and prepare associated reports and invoices. • Prepares and maintains schedules in the KRONUS system for the Director of Engineering, Manager of Maintenance Services as requested. • Maintain equipment literature files. • Assists engineering personnel with research of equipment literature, blueprints, specifications and other engineering data. • Receive calls for emergency work requests and as requested relay messages to technicians or dispatch technicians as required. • Performs research and special assignments as required by Director of Engineering. • Presents a good image of Reid through effective, sensitive, and responsive communication with the public and by maintaining confidentiality by protection of the rights and dignity of patients, family, and staff. • Has knowledge of and participates in Q, A, & I activities. Prepares Quarterly Quality Report. • Maintains IDEM files so that quarterly and annual reports are completed. • Assists in making exhibit documents for System Coordinator and/or Director of Engineering for surveyors. • Maintains lease renewal calendar on the Director of Engineering’s calendar and prepares renewal letters as a word document for editing. • Assumes the following Secretarial duties: a. Receives general incoming telephone calls for Director of Engineering, Manager of Maintenance Supervisor, and System Coordinator. b. Makes data entries for purchase requisitions. c. Work with engineering employees to return unacceptable/damaged supplies or equipment for repair. d. Greet and direct departmental visitors to proper personnel in department or hospital complex. e. Maintain a sign-in logbook for salesman and maintenance contractors. f. Assign contractor badges and log ins as needed. g. Maintain confidentiality of data received from Director of Engineering, System Coordinator, Manager of Maintenance Services. h. Compile information that is needed for DNV, safety inspections and hospital insurance inspections. i. Assists in tracking and maintaining key and access badges for contractors and vendors. • Continually strives to make the best of time through coordination of daily tasks. • Adjusts and reviews personal work schedule as necessary in relation to day-to-day requests, with a positive attitude. • Assumes responsibility and accountability for own actions. • Always reports to work on time or meets guidelines on reporting absences or tardy arrivals. • Helps maintain a positive appearance and safe environment in the department and throughout hospital. • Respects the confidentiality of all customers at all times. • Assumes responsibility and development of personal learning needs/education. • Attends department meetings and in-services. • Works cooperatively with team members and willingly acts as a resource for co-workers. • Accepts responsibility willingly in meeting orientation expectations and instructions of new procedures and equipment. • Participates in employee health infection control requirements. • Responsible for individual productivity rate. Education & Experience • Successful completion of Reid Hospital orientation and competency-based skills appropriate for the job. Individual performance and competency-based skills are maintained through ongoing assessment of competence and educational activities. Written evaluations are done on an annual basis. • Two years’ experience in a staff role dealing with preventive maintenance programs or related work in maintenance records, accounting, files and blueprints. • Ability to learn new software. • Familiar with computer software programs for a modern office setting (Microsoft office applications). Lawson, TMS and KRONUS experience preferred. • Must be proficient in Microsoft Word and Excel. • Ability to adjust work schedule as needed to accomplish the goals of the department and Reid. • Valid driver’s license.
