Description THE CITY OF DANVILLE: The City of Danville is located 35 miles southwest of Lexington and is a thriving community with a population of 17,000. Position: Executive Assistant Pay Classification: Non-Exempt Job Classification: Full-time Pay Grade: NH-11 Location: 445 West Main Street, Danville, KY 40422 Department: Legislative Responsible To: City Engineer Position Summary: Under the general supervision of the City Engineer, this position will provide executive administration support to the City of Danville’s Engineering Department. Will perform various organizational and analytical support functions for the Engineering Department. The position will also be required to provide additional administrative support to other City departments as job duties demand. Supervisory Responsibilities: None Duties/Responsibilities: · Performs general office and clerical work at the direction of the City Engineer and assists other departmental employees as needed. · Research, extract, coordinate, and summarizes information (confidential and non-confidential) on behalf of Engineering. · Assists Engineering with permitting processes related to development · Compose and prepares business letters, memos and reports. · Undertakes research for special surveys and studies for staff and professional support contracts, and produces the resulting summaries as required. · Assists Engineering with the audit and maintenance of the Stormwater Utility Fee Program. · Assist with processing of project expenses(invoices) for capital projects and programs of various subordinate departments. · Assists Engineering in preparation and distribution of procurement documents. · Perform special projects as assigned by the City Engineer. · Manages website and social media communication for the Engineering Department. · Assists the City Engineer with the administration of the City’s fleet program. · Assists the City Engineer with the development of grant applications and administration of grant funded projects. · Perform other job duties as assigned. Requirements Required Skills/Abilities: · Strong knowledge of Microsoft Office Word, Excel, and PowerPoint. · Excellent verbal and written communication skills. · Ability to work in a team environment, with the ability to work across all levels of City officials, employees, agencies, organizations, and the general public. · Strong customer service skills. · Ability to adapt to change in a fast-paced work environment. · Proven ability to work with minimal supervision. · Possess working knowledge of the City operations and its policies, related organizational codes, KY Admin. Regulations, local city codes, and other. · Technical aptitude with the ability to learn permitting software, document management software, website content software and other various software programs · Required to display a high level of professionalism at all times. Education and Experience: · HS Diploma or GED · Associate Degree in business administration, public administration, or related field is preferred. · 3-5 years of documented administrative experience in a professional environment. · Must have valid and current driver’s license. Certifications: · None Physical Requirements: · Ability to lift up to 30lbs occasionally. · Walking, twisting, stooping, and bending on a regular basis. · Must be able to sit at a workstation for extending periods of time. Compensation: · $51,128 - $68,879 annually. · Candidate's starting salary will be commensurate with their level of administrative experience.
