ABOUT THE ROLE The Engineering Administrator will provide structured operational support to the Engineering Team, ensuring robust timesheet audit controls, accurate performance reporting, and effective management of calibration, tooling and van stock processes via the CAFM system. This role is critical in maintaining data accuracy, labour integrity, compliance standards, and stock availability to support the efficient delivery of planned and reactive maintenance services. WHAT YOU WILL BE RESPONSIBLE FOR Timesheet Audit & Labour Control · Conduct structured weekly audits of engineer timesheets · Cross-check submitted timesheets against CAFM job records · Validate labour allocation against PPM, reactive, quoted and non-productive codes · Identify discrepancies in hours worked, travel time, overtime and standby · Flag inconsistencies or anomalies to Supervisors / Manager · Maintain an audit trail of corrections and adjustments · Support payroll submission by ensuring timesheet accuracy prior to processing · Produce weekly labour analysis reports highlighting utilisation and trends · Assist in monitoring on-call rota compliance · Work with Account Managers to control overtime budgets against resident contracts Reporting & Performance Support · Produce weekly and monthly operational reports including: · PPM compliance · Reactive response & completion times · Work in progress (WIP) · Backlog analysis · Engineer productivity & utilisation · Quote conversion tracking · Performance league tables Calibration & Tooling Administration · Maintain and update the engineering calibration register · Monitor calibration expiry dates and proactively schedule renewals · Coordinate dispatch and return of equipment for calibration · Liaise with approved suppliers · Maintain a central tooling inventory register · Process tooling requests from engineers and supervisors · Raise purchase orders where required · Support vehicle and tool audit documentation · Support HR with tool orders for engineer onboarding and offboarding activities Van Stock Management (CAFM Controlled) · Monitor engineer van stock levels via the CAFM system · Review usage trends and identify low-stock alerts · Coordinate replenishment orders to maintain agreed minimum stock levels · Work with Supervisors to review standard van stock lists · Maintain accurate stock records within the system · Support stock audits and investigate discrepancies · Assist in reducing stock loss and ensuring cost control · Any other reasonable duties requested by Operations manager and Strategic Operations Director including special projects as required Compliance and Process Report Maintain compliance records for: · FGAS · Gas Safe · ECS · ACRIB · Manufacturer accreditations · Track expiry dates and notify management in advance · Support audit preparation and documentation control · Maintain structured document control within Teams / SharePoint · Assist with onboarding documentation and system setup for new engineers WHAT WE ARE LOOKING FOR Essential · Experience in an administrative role within engineering or facilities management · Strong Excel capability (pivot tables, data analysis, reporting) · Experience using CAFM systems (e.g. Job Logic, Maximo) · High level of attention to detail · Analytical and process-driven approach · Ability to manage multiple deadlines Desirable · Experience in labour audit or payroll validation · Exposure to van stock or inventory control systems · Knowledge of PPM and reactive maintenance delivery models · Experience supporting KPI dashboards / Power BI · Understanding of compliance requirements within engineering services · teams and externally with clients and end users. · Demonstrated ability to work collaboratively alongside client response, compliance, and scheduling teams, supporting escalation management and operational problem-solving. · Proficient in Microsoft Office suite and confident in working with data, reporting tools, and operational dashboards.
