Description
Red Ember Recruitment is seeking an Engineering Project Administrator on behalf of our client in the defence and electro-optical research and development sector located in Pretoria. The successful candidate will provide project coordination, technical administrative support, and documentation management across multidisciplinary engineering programmes. This role is essential in ensuring efficient project execution, accurate reporting, configuration control, and seamless communication between engineering, production, suppliers, and management. Key Responsibilities Project Coordination & Support Assist Project Managers with planning, scheduling, and monitoring project tasks Interpret project requirements ensuring alignment with engineering needs Coordinate daily with optical, mechanical, electronic, software, and systems engineering teams Support project timelines, Gantt charts, risk registers, and action item logs Documentation & Configuration Control Maintain project documentation, specifications, minutes, and change requests Control versioning and configuration of engineering documentation Compile documentation packs for SRR, PDR, CDR and qualification reviews Format and prepare SRS, ICD, ATP, test reports, and technical documents Project Reporting & Communication Prepare internal status reports, dashboards, milestone summaries Document project meetings and track follow-up actions Facilitate communication between engineering teams, suppliers, and management Operational, Procurement & Production Support Interface with production to track build progress and update schedules Assist procurement with quotes, requisitions, and supplier follow-ups Track budgets, hours, costing, and resource usage Support preparation for serial production and compliance processes General Project Office Functions Arrange travel, customer engagements, demos, and internal meetings Provide administrative and logistical support to engineering teams Assist with estimates, quotations, and related documents Perform any other reasonable tasks as required Occasional international travel Requirements Diploma or Degree in Project Administration, Project Management, Business Administration or related field Minimum 5 years project coordination experience in engineering, technical, R&D, or manufacturing sectors Experience supporting product development Proficiency in MS Project, Jira, Monday.com, SharePoint or similar Advanced MS Office skills (Excel, Word, PowerPoint) Ability to work across multidisciplinary engineering teams Defence/aerospace experience advantageous Strong organisational, communication and documentation skills Ability to handle multiple priorities in a high-tech environment
