Overview:
Please note this position will be based in our Phoenix, AZ Support Office. The Enterprise Program Manager role is pivotal in ensuring that complex, large-scale, cross-functional projects are aligned with organizational goals, planned thoughtfully and executed efficiently across the enterprise. This role involves managing program budgets, schedules, and resources to optimize efficiency and impact; facilitating communication across teams to ensure alignment, manage risks and drive informed decisions. This role requires an experienced project management professional with demonstrated ability to lead and influence, think strategically, and communicate and collaborate effectively across all levels of the organization.
Essential Functions:
Planning & Execution: Work with senior leadership to define program objectives, scope, deliverables, and success metrics. Define plan and adapt to changing project requirements and dynamic environments. Responsible for supporting development and documentation of key project artifacts (Charter, Requirements, Test plans) and maintaining a focus on driving towards project milestones. Hold vendors and third parties accountable to their deliverables and timelines while fostering healthy relationships. Bridge waterfall and agile project methodologies, acting as ScrumMaster for IT delivery work (story creation, sprint planning, stand-ups, retrospectives, scrum-to-scrum for cross-functional coordination).
Stakeholder Communication: Facilitate communication across teams to ensure alignment and transparency, by establishing appropriate governance cadence and communication channels. Lead Team meetings at all levels, drive meaningful agendas ensuring right focus at the right time. Communicate project progress to stakeholders through weekly status reports and other effective means tailoring communication to audience. Prepare for and lead Steering Committee, focusing content on driving alignment around decisions and risk mitigation approaches.
Resource Management: Identify and secure cross-functional resources based on project needs. Support external recruitment to fill key program roles. Allocate project team resources effectively towards completion of work, resolving constraints. Forecast and track resource usage across projects to identify gaps/needs and escalate risks or re-allocate team as necessary. Review Time allocation to projects for appropriate capitalization.
Budget Management: Develop and manage program budget across multiple projects and workstreams, allocating funding where needed to achieve program goals. Support business case development and approval processes where needed. Manage purchase orders, receipts and invoice coordination in accordance with project budget, monitor budget usage, support re-forecasting and manage project activities to drive spend. Produce project financial reporting (Capital and OpEx) with variance explanations and support timely reviews with the project team.
Risk Management: Maintain RAID log; drive closure of actions, issues and decisions needed, escalating when appropriate. Identify and track risks across all aspects of program (e.g. people, process, technology); recommend and deploy mitigation strategies and eliminate blockers.
Performance Monitoring: Track project performance using appropriate systems and tools in accordance with PMO standards to ensure projects meet quality, schedule, and budget expectations. Draft and distribute project status reporting. Apply tollgate principles for each milestone to ensure readiness to proceed. Articulate impacts of project delivery changes to ROI or key success measures.
Team Leadership: Provide coaching and direction to project managers and workstream leads across program space. Drive team recognition and celebration, fostering a collaborative and high-performance work environment that reinforces Sprouts culture and purpose.
Change Management: Drive leadership alignment and business adoption to achieve program goals. Embed organizational change management aspects into project planning and execution. Ensure completion of relevant OCM deliverables (e.g. Stakeholder & Impact Assessment, Communication & Training Plan, Adoption Metrics), leveraging OCM specialists where needed. Ensure proper hand-offs to IT Support and Customer Care Teams. Process Improvement: Support, recommend, and implement continuous improvement opportunities to drive efficiency and improve quality, within PMO and functional domains. Encourage and recognize program teams for continuous improvement mindset.
