Now in our 15th season, our authentic outdoor German Christmas Market features unique holiday shopping, seasonal entertainment, and delicious traditional food and drinks. Located in the downtown core of Vancouver, at Jack Poole Plaza, the Christmas Market will be open to the public daily from mid-November to December 24.

CONTRACT FULL-TIME – ENTERTAINMENT AND EVENT OPERATIONS COORDINATOR

Vancouver Christmas Market Inc. is seeking a driven, and enthusiastic individual with event-related logistical experience. In collaboration with the Operations Manager, the role entails overseeing the entire operation of the event(s), from the upfront planning to set up & take down of the infrastructure including the supervision of suppliers and management of Hausmeister staff.
A successful candidate for this role is a creative thinker who understands the specific needs of the company’s seasonal events, while keeping in mind the larger components necessary for its completion. This candidate is a confident leader and efficient planner. Not only does a successful candidate need to be proficient in negotiating, but also has the expertise to manage vendors, suppliers and partners and provide direction.
This position will start from September 2 to January 31. It is full-time in office & on-site.

REQUIREMENTS AND SELECTION CRITERIA

  • Bachelor’s degree or Diploma in Event Management, or a related field preferred.
  • Minimum 2 years of experience in operations, logistic and event production/coordination.
  • Advanced proficiency with software and online tools (Microsoft Office, Airtable and Inventory software)
  • Ability to multitask within tight deadlines
  • Proven experience managing suppliers for events or festivals.
  • Excellent verbal and written communication skills
  • Excellent organizational skills and/or project management experience
  • Experience with scheduling and overseeing the activities of large groups.
  • Ability to take projects from concept through execution to final production
  • Ability to quickly adapt to changing environments, problem-solving skills, and an innovative mindset including exercising good judgment and decision making.
  • Valid Driver’s license & passport required as travel in US might be needed.
  • Ability to lift up to 50 pounds and work in an outside environment for long periods of time.

Responsibilities
  • Support the Operations Manager with planning, building, managing, inspections, and tear-down of VCM, including supplier coordination, production schedules, and logistics (warehousing, inventory, trucking).
  • Oversee sound, entertainment and programming: planning, scheduling, entertainer selection, contracts, and on-site sound system management.
  • Manage and supervise the Hausmeister team (4+ staff): recruitment, training, scheduling, and ongoing support for market operations, inventory tracking, and décor installation.
  • Assist with accreditation, security, and Wi-Fi set-up (supplier coordination, scheduling, process implementation)
  • Act as point of contact for Operations when the Operations Manager is off-site, providing general event support as needed.
  • Contribute to post-event wrap-up, reporting, improvement guidelines, and updates to the Hausmeister handbook.
