Job Description The Equipment Receiving & Shipping Officer is responsible for the accurate intake, documentation, handling, storage, and dispatch of customer equipment submitted for calibration. This role ensures that all instruments are properly tracked, protected, and delivered on time, supporting Selfa’s commitment to reliability, accuracy, and customer confidence. This position sits at the intersection of customer service, operations, and quality management. Key Responsibilities 1. Equipment Receiving Receive all customer instruments and accessories submitted for calibration. Verify quantities, condition, serial numbers, and customer details against job requests. Generate and issue Receiving Notes / Job Intake Records. Tag and label equipment correctly with job numbers and status. Log all items into the laboratory tracking system. 2. Equipment Storage & Handling Ensure proper handling of sensitive instruments in line with laboratory procedures. Store incoming and completed jobs in designated secure locations. Maintain cleanliness and organisation of receiving and storage areas. Immediately report any damaged or unsafe equipment. 3. Job Tracking & Internal Movement Release equipment to calibration technicians according to work schedules. Track job movement between departments and workstations. Update job status in the tracking system in real time. Escalate delays, missing items, or documentation issues. 4. Shipping & Dispatch Prepare completed equipment for dispatch: packaging, documentation, and labeling. Coordinate courier pickups and customer collections. Verify customer delivery details and ensure proper handover. Maintain dispatch records and proof of delivery documentation. 5. Customer & Administrative Support Serve as first point of contact for customers dropping off or picking up equipment. Provide job status updates to customers and internal teams. Support invoicing by ensuring job records and delivery confirmations are accurate. 6. Quality & Compliance Follow ISO 17025 laboratory procedures for equipment handling and traceability. Maintain accurate records in line with Selfa’s Quality Management System. Participate in internal audits and continuous improvement initiatives. Qualifications Minimum Qualifications OND / HND / B.Sc in Engineering, Science, Logistics, Business Administration, or related field. Required Skills & Competencies Strong attention to detail and documentation accuracy. Good organisational and time-management skills. Basic computer proficiency (job tracking systems, Excel, email). Professional communication and customer service skills. Ability to handle delicate technical equipment carefully. Ability to work under pressure and meet deadlines. Additional Information Key Performance Indicators (KPIs) Accuracy of job intake and dispatch records. Zero loss or damage of customer equipment. On-time dispatch and job movement. Customer satisfaction feedback on handling and communication. Compliance with laboratory procedures and documentation standards.
