Description [This job is on-site in Huntsville, AL] The Equipment Spare Parts Administrator is responsible for overseeing the management, tracking, and optimization of spare parts inventory to support efficient equipment maintenance and operational continuity. This role ensures accurate record-keeping, timely replenishment, vendor coordination, and compliance with internal inventory control procedures. The administrator works closely with maintenance, engineering, procurement, and warehouse teams to ensure availability of critical parts and improve spare-parts lifecycle management. Key Responsibilities Maintain and update the spare parts inventory database, ensuring accuracy of stock levels, item descriptions, and storage locations. Coordinate with maintenance and engineering teams to identify spare parts needs and support preventive and corrective maintenance activities. Monitor inventory levels, generate reorder requests, and ensure timely procurement of critical components to avoid equipment downtime. Review and verify incoming spare parts, inspect quality, and ensure proper labeling and storage according to company standards. Maintain documentation including purchase records, usage logs, warranty information, and vendor details. Conduct periodic inventory counts and participate in annual stock audits; investigate discrepancies and take corrective action. Work with suppliers to track order status, delivery schedules, and resolve issues related to defective or incorrect items. Develop and implement inventory optimization strategies to reduce excess stock, improve turnover rate, and control costs. Prepare regular reports on spare parts usage, stock value, consumption trends, and inventory KPIs. Ensure compliance with safety, environmental, and quality standards within the spare-parts area. Requirements Education & Experience Bilingual in Mandarin and English with oral proficiency in both languages Bachelor’s degree in Supply Chain Management, Logistics, Mechanical Engineering, Industrial Engineering, or related field preferred. 1–3 years of experience in spare parts management, warehouse administration, maintenance planning, or inventory control (manufacturing environment preferred). Skills & Competencies Strong understanding of mechanical or electrical equipment components and maintenance terminology. Proficient in inventory control methods, stock analysis, and cycle counting. Solid data-entry accuracy and record-keeping skills. Good communication skills and ability to collaborate with internal teams and external vendors. Strong analytical and problem-solving abilities; ability to interpret inventory trends and maintenance needs. Ability to prioritize tasks and manage time effectively in a fast-paced industrial environment. Proficiency in MS Office, especially Excel (VLOOKUP, pivot tables, inventory tracking). Detail-oriented, reliable, and capable of working with minimal supervision. Additional Requirements Ability to occasionally lift and move materials up to 30–50 lbs as required in a warehouse/maintenance setting. Knowledge of safety procedures and 5S principles is a plus. Able to sit, stand, walk, and bend for extended periods of time during working hours.
