Job Purpose: Manage all aspects of the Alina Homecare property portfolio and Health & Safety matters across the business. Support property acquisition process and Project Management of opening new Greenfield locations. Ensure all office locations (and the activities in those offices) operate safely and are compliant with relevant Health and Safety Legislation.

COMPETENCE AND PREVIOUS EXPERIENCE:

  • At least 5-10 years previous Estates Management, Facilities and Health & Safety experience in a similar multi-site environment.
  • Estates or Property related experience demonstrating a comprehensive understanding of the commercial, legal and administrative process required in securing leased office properties.
  • Strong leadership skills to manage teams and excellent communication skills to liaise with contractors, vendors, and internal stakeholders.
  • Excellent project management skills with the ability to work at pace, handling unexpected issues and find effective solutions quickly.
  • Experience in managing budgets and controlling costs for facilities operations.
  • Experience in managing and selecting competent contractors and suppliers ensuring they meet required quality and compliance standards
  • Knowledge of the Care Quality Commission’s regulatory framework would be an advantage.
  • Candidate must be IT literate with comprehensive understanding of MS Office programmes to include Word, Excel, Teams and Outlook. Training on company specific software will be provided.

QUALIFICATIONS AND MEMBERSHIP TO PROFESSIONAL BODIES

It is desirable that the candidate has membership to a relevant property or facilities management body (e.g. IWFH, RICS, BIFM). It would also be helpful if the candidate has a relevant health and safety related qualification (e.g. IOSH, NEBOSH or Level 3 Fire Risk Assessor).

Responsibilities

MAIN DUTIES AND RESPONSIBILITIES

  • Assisting operations team to identify suitable locations and office properties for proposed new greenfield branches
  • Taking a lead role in securing and renegotiating leases and liaising with advisers to finalise legal/administrative processes
  • Managing set up of new offices and relocation of existing offices to new sites, including project management, procuring furniture and fittings, liaison with IT team, oversight of transport arrangements, administration and legal processes etc.
  • Managing portfolio of office properties, to include maintaining, monitoring and updating a list of properties, lease expiry/break dates, rents etc.
  • Managing selection of competent contractors and procurement contracts for property- related services/products, e.g. furniture supplies, wastepaper (secure shredding), hygiene bins etc.
  • Overall oversight of the Health & Safety compliance in all office properties, including:
  • Overall responsibility for health and safety compliance of all Alina Homecare offices ensuring that all staff are aware of the importance of health & safety in the workplace.
  • Managing and coordinating all planned and reactive maintenance including the selection and performance management of competent contractors.
  • Planning and carrying out a rolling programme of internal health & safety compliance
  • audits of all offices reporting on significant findings and managing action plans through to completion.
  • Preparing quarterly management reports and attending Quarterly Health & Safety Committee meetings to evidence compliance and continual improvement activities. In conjunction with the Quality Manager, prepare and submit an annual Board report on health & safety compliance and progress made during the year.
  • Maintaining and reviewing all task and process-based risk assessments completed at office properties across the organisation; ensuring that risk assessments are developed and implemented for new and emerging risks.
  • Co-ordinating reporting of RIDDOR reportable incidents to the HSE and undertaking investigations as appropriate into these or other safety related incidents as required, and any identifying lessons learned.
