QUALIFICATIONS:

  • Law Clerk or Legal Assistant Diploma (or equivalent certification)
  • Minimum of 3–5 years of experience in estate administration or a similar role within a law firm
  • Strong knowledge of estate processes, court application procedures, and probate requirements in Ontario
  • Excellent organizational skills with the ability to manage multiple deadlines and competing priorities
  • High attention to detail, accuracy, and file management practices
  • Strong interpersonal and communication skills, particularly in client-facing and sensitive situations
  • Professional, adaptable, and able to work both independently and collaboratively
Responsibilities
  • Organize, maintain, and track estate files, including correspondence, court documents, and supporting materials
  • Prepare and submit court forms required for Certificate of Appointment applications to the Ontario Superior Court
  • Provide full administrative support throughout the estate file lifecycle, including interim and final reporting
  • Liaise directly with clients, beneficiaries, and estate trustees regarding all aspects of estate administration
  • Conduct asset valuations and assist in the liquidation and distribution of estate assets
  • Prepare estate accounting, releases, and distribution documentation
  • Coordinate communications with banks, investment institutions, lawyers, and the courts
  • Draft correspondence, notifications, and updates to beneficiaries and stakeholders
  • Ensure timely and accurate file management to meet deadlines and maintain a high standard of client service
  • Perform other duties and provide additional support as required within the practice group
