JOB OVERVIEW

The Estimating Administrator is responsible for managing and organizing bid documentation to ensure the estimating team has accurate and current information. This position requires exceptional administrative abilities, attention to detail, and effective coordination with estimators, project managers, suppliers and subcontractors.

QUALIFICATIONS

  • Minimum 1 year of experience in estimating administration or a related role, preferably in the construction industry.
  • Experience in an estimating, construction, or engineering environment is an asset.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency in Microsoft Office Suite.
  • Ability to read and interpret construction drawings and specifications preferred.
  • Excellent communication and interpersonal skills.
  • Ability to handle multiple priorities and work effectively under tight deadlines.

Responsibilities
  • Maintain and organize estimating files, ensuring all records are properly stored and easily accessible.
  • Download, organize, and manage drawings, specifications, and tender documents from client portals or bidding platforms.
  • Keep the estimating bid log and project database updated and accurate.
  • Review bid documents to identify the scope of work required for pricing.
  • Issue pricing requests to suppliers and subcontractors.
  • Coordinate and track communications with suppliers and subcontractors, maintaining detailed records of correspondence and quotations.
  • Monitor bid deadlines and ensure submission requirements are met.
  • Prepare prequalification packages and other required submittals.
  • Provide general estimating and administrative support as needed.
