Description

We’re searching for a talented Events and Hospitality Lead to join our team, to be the operational heart of our events, focusing on seamless execution from setup to cleanup, with a keen eye on food and beverage service. In this role, you’ll be the conductor of unforgettable events, orchestrating everything from staff management to seamless logistics and vendor partnerships. Your expertise will be key to turning our members and guests’ visions into reality, ensuring every event not only meets their needs, but also creates lasting memories.
This role would work various hours including evenings, weekends and holidays.

Key Responsibilities:

  • Build and maintain relationships with other Club staff, Board and Board Committees.
  • Assist with the training, supervision, and scheduling of event staff. Support the coordination of staff to ensure a seamless setup and tear-down process.
  • Serve as the primary point of contact during events, including weddings, celebrations and special occasions. Addresses any on-site issues or emergencies to minimize event interruptions. This includes being present throughout the event to ensure everything runs smoothly from start to finish.
  • Interact and converse with members, guests, and other employees in a friendly, courteous, and co-operative manner. Maintain a positive and helpful attitude towards members, guests, and other employees.
  • Work closely with Housekeeping Lead to manage event breakdown, and cleanup activities, ensuring facilities are secured. Partner with Operations, Facilities, and other departments to ensure the successful execution of events.
  • Collaborate with Club committees, and members/guests on full cycle event planning. This will include the planning of events (e.g. weddings, celebrations, Ladies Day, Men’s Day etc.), the implementation/set up, being present during event, tear down and clean up.
  • Ensure the highest standards of food and beverage service are met. Support the development of event concepts, themes and layouts, including food and beverage service details.
  • Create detailed event timelines and manage all logistical aspects, including set up and coordinating staff.
  • Notifies management of members and guests concerns/complaints.
  • Prepares, reviews and inputs event floor plans, guest tables and set-up needs for special functions.
  • Manage billing and revenue, ensuring all appropriate charges are billed correctly and forwarded to the Accounting Department.
  • Liaise with various vendors, including florists, entertainment, etc.
  • Liaise with various vendors, including entertainment and florists, to ensure on-site coordination is seamless.
  • Prepare post-event reports, including financial summaries and event evaluations.
  • Maintain accurate records of all event details and financial transactions.

Required Skills:

  • Successful completion of a college diploma in Events, Communications or related field would be preferred.
  • Must have a current Smart Serve certification.
  • First Aid and CPR certification would be an asset.
  • Proven track record in successfully assisting all types of banquet functions and other special events.
  • Proven knowledge of food and beverage service standards and best practices.
  • Strong team player with an ability to take initiative.
  • Demonstrated strong leadership and coaching skills.
  • Ability to perform and communicate in a highly professional and effective manner in a fast-paced environment.
  • High level of critical and logical thinking, analysis and/or reasoning.
  • Strong organizational and time management skills.
  • Creative and strong attention to detail.
  • Proven ability to work to tight deadlines with strong judgement, problem solving and decision-making abilities.
  • Flexible, adaptable, and able to execute a range of job duties and changing priorities.
  • Possess excellent written and verbal communication skills.
