Location: Scottsdale, AZ Team Overview The Event Assistant plays a vital role in bridging the gap between the Events Team Coordinators and the Events Technology Team by supporting various types of pre-/post-event preparations pertaining to event creative collateral, overseeing deadlines in the project management platform, and performing other administrative tasks. The ideal candidate thrives in a fast-paced environment, excels at cross-functional coordination, and is committed to continuous improvement and streamlined creative processes. Key Responsibilities Support the Events Technology Manager with deadline management and clerical support. Assist the Events Technology Manager in developing and managing creative and printing timelines in collaboration with the Creative Team. Help to ensure clear communication and alignment on creative needs for each event. Track progress from ideation through final delivery for multiple events at a time. Maintain all creative collateral workflows, ensuring deliverables are completed on time and meet quality standards. Monitor and communicate project status, risks, and potential delays to relevant team members and leadership. Build and maintain strong working relationships with internal stakeholders, fostering collaboration across departments. Collaborate closely with the Print House to manage production timelines and ordering of printed event materials. Perform related duties or special projects as assigned. Minimum Qualifications Proficient in Microsoft Office software, including Word, Excel, and Outlook. Experience in visual design, formatting standards, and an eye for design and layout aesthetics. Ability to manage multiple projects simultaneously. Excellent organizational, verbal, written, and interpersonal communication skills. Preferred Qualifications Bachelor’s degree. Administrative assistance experience. Experience in project management tools (e.g., Trello, Wrike, Asana, or similar).
