Overview:
We are seeking a dynamic Event Coordinator and Administrative Assistant to join our team. The ideal candidate will be passionate about creating memorable experiences and coordinating various events for our the benefit of our affiliated nonprofit and school. If you have a flair for non profit work, customer service, excellent organizational skills, and thrive in a dynamic environment, we want to hear from you.
Event Planning Duties:
- Plan, organize, and execute a wide range of events such as conferences, weddings, corporate meetings, fundraisers, and social gatherings
- Coordinate with clients to understand their event requirements and preferences
- Select event caterers, decorators, and other vendors
- Negotiate contracts with vendors to ensure cost-effective services while maintaining quality
- Work within event budgets and ensure all expenses stay within the allocated budget
- Oversee event setup, including seating arrangements, decorations, audiovisual equipment, and catering services
- Provide on-site coordination during events to ensure everything runs smoothly
- Upsell additional services or amenities to clients to enhance their event experience

Administrative Assistant Duties:

  • Support Day-to-Day communications
  • Maintains records systems
  • Basic bookkeeping
  • Understand Nonprofits Programs and their Development
  • Support marketing of programs and events
  • Social Media posts and engagement

Requirements:
- Proven experience in event management or related field
- Excellent communication and negotiation skills
- Strong time management and organizational abilities
- Knowledge of budgeting principles and experience in managing event budgets
- Familiarity with catering, event operations, and restaurant/catering services
- Ability to provide exceptional customer service throughout the event planning process
