Event Coordinator – Decision Tactical
Location: Sanford / North Orlando, FL
Reports To: Operations Manager (with dotted-line support to Chief of Staff & Sales Team)

Role Summary
The Event Coordinator is responsible for planning, coordinating, and executing events of all sizes at Decision Tactical. This includes managing logistics, communicating with clients, supporting sales in event pre-planning, and ensuring flawless delivery with our operations, kitchen, and tactical experience teams. The role requires high energy, attention to detail, and the ability to thrive in a fast-paced, customer-focused environment.

Key Responsibilities

  • Client Coordination
  • Serve as the primary point of contact for event clients from booking through execution.
  • Confirm event details, contracts, and timelines; ensure accurate communication across teams.
  • Conduct pre-event walkthroughs and post-event follow-ups.
  • Event Planning & Logistics
  • Schedule event spaces, tactical experiences, catering, and A/V needs.
  • Coordinate with the kitchen/bar, tactical operations staff, and venue team for seamless delivery.
  • Prepare and distribute Banquet Event Orders (BEOs) and event timelines.
  • Ensure set-up, signage, décor, and staffing align with the event vision.
  • On-Site Event Management
  • Lead execution of events on the day-of: client welcome, run-of-show management, and issue resolution.
  • Act as a floor leader to ensure smooth coordination between tactical instructors, food & beverage, and guest services.
  • Monitor guest satisfaction and proactively address concerns.
  • Team & Vendor Collaboration
  • Work closely with the Sales team to transition client details into operations.
  • Liaise with outside vendors, entertainers, or partners when needed.
  • Support marketing in capturing event photos, testimonials, and content for promotions.
  • Administrative & Reporting
  • Maintain event records, contracts, and billing details in CRM and POS systems.
  • Track event KPIs (attendance, spend, upsells, guest satisfaction).
  • Provide weekly event reports to management.

Qualifications

  • 2+ years of experience in event coordination, hospitality, or related role (preferred: venue or entertainment experience).
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to lead cross-functional teams in a fast-paced environment.
  • Proficiency with event management software, CRM systems, and POS platforms (Odoo, Capsule, Toast preferred but not required).
  • Flexible schedule with availability on nights, weekends, and holidays as needed.

Key Performance Indicators (KPIs)

  • Client Satisfaction: % of events rated “excellent” on post-event surveys.
  • Event Accuracy: % of events executed with zero major errors (per BEO).
  • Revenue Contribution: Event sales growth, average spend per guest, and upsells.
  • Operational Efficiency: On-time event start and turnaround times.
  • Repeat & Referral Business: # of repeat bookings or referrals generated.
