POSITION SUMMARY:

The Event Coordinator at Great Jones Distilling Co. plays a key role in supporting the planning and execution of private events, from the initial inquiry through to day-of coordination. Reporting directly to the Events Manager, this position collaborates across multiple departments to ensure a seamless and memorable experience for all guests. The ideal candidate is detail-oriented, communicative, and dedicated to delivering exceptional service throughout every stage of the event process.

Responsibilities

· Assist the Events Managers in responding to event inquiries, scheduling site tours, and creating proposals
· Assist in creating event collateral and sales materials as needed
· Coordinate logistics and administrative tasks for upcoming events, including timelines, contracts, menus, and vendor communications
· Conduct site visits with prospective clients as needed
· Maintain organized event files and track calendars across various event and ticketing systems
· Work with Events Manager to build detailed floorplans for each event, ensuring client’s needs are met
· Act as primary on-site contact during events to ensure seamless execution and client satisfaction
· Liaise with internal departments (front of house and back of house) to ensure all details are confirmed in advance
· Attend weekly BEO meetings to ensure all parties are informed on upcoming events and proceed with any follow up required
· Maintain a high level of professionalism and hospitality in all guest interactions
· Additional duties based on the needs of the business
