COMPANY OVERVIEW

The Redemptorist Fathers is a religious community of Roman Catholic priests dedicated to preaching the Good News to the poor and most abandoned across the globe, with nearly 300 years of ministry experience in over 70 countries.
Working on site at The National Shrine of St. John Neumann in Philadelphia, PA , the Event Coordinator will report to the Shrine Director. The Coordinator will work 9:30am -3:30 pm, Monday - Friday, and on an occasional Saturday, as needed.

SUMMARY OF EVENT COORDINATOR POSITION

The St. John Neumann Center Event Coordinator will work directly with the Shrine Director to organize, coordinate, and oversee all aspects of using the St. John Neumann Center. The Event Coordinator will coordinate groups interested in using the center, determine the necessary event design, create a contract and stipend for site use, and oversee the group’s use of the site. The Event Coordinator will maintain client files, post the event in the General Calendar, and coordinate in-house set-up and invoice management. The Event Coordinator will provide prospective clients, booking leads, and client information directly to the Shrine Director.

QUALIFICATIONS:

· AA/BA or equivalent and at least 2 years of related experience.
· Proficient with Microsoft Suite programs, including Excel, Microsoft Word, and PowerPoint.

Office hours 9:30am – 3:30pm Monday – Friday
Flex time – Some work hours will be adjusted to accommodate booked groups. This will include working some weekends when a group needs this type of support.

Responsibilities

· Must understand the St John Neumann Center and its potential for meeting the needs of our clients.
· Coordinate with the Assistant Shrine Director about individual tours that may choose to use our Center as part of their Pilgrimage.
· Meet with potential external clients to introduce them to the St John Neumann Center
· Book external clients for events and meals as needed.
· Book outside subcontractors as needed (i.e., caterers, etc.).
· Work with clients to meet the specific needs of their respective groups.
· Answer all related phone calls, faxes, and emails in a timely manner.
· Coordinate the above-described activities with the Shrine Director, the Maintenance Manager, and the front office as needed.
· Help with the set-up and design of the Center for use by each group.
· Provide face-to-face support during the booked event.
· Ensure the Center is adequately maintained and that repairs are made as needed.
· Make sure that permits needed for the Center are renewed, yearly inspections are done, and the back-room space of the Center is organized.
· Keep the Shrine Director apprised of communication volume, particularly phone and email activity, to prevent communication backlogs and lost opportunities.
· Recruit and support volunteers to help with the set-up and design of the Center for events.
· Recruit and support volunteers to help create a welcoming atmosphere at the Center.
· Assist with other activities as requested/needed by the Director
· Work closely with the Director and Assistant Director.
