OVERVIEW

We are seeking a highly organized and detail-oriented Event Coordinator to join our dynamic team. The ideal candidate will possess a strong background in event planning and management, with a focus on delivering exceptional customer service and creating memorable experiences for our clients. This role requires excellent communication and organizational skills, as well as the ability to manage multiple tasks effectively in a fast-paced environment.

EXPERIENCE

  • Proven experience in event planning or management is essential.
  • Strong skills in negotiation and budgeting are required.
  • Background in marketing or event marketing is preferred.
  • Experience in hospitality settings such as hotels, restaurants or private clubs is a plus.
  • Familiarity with banquet operations and catering services is beneficial.
  • Excellent organizational skills with the ability to manage time effectively.
  • Strong communication skills to liaise with clients, vendors, and team members.

Responsibilities
  • Plan, coordinate, and execute various events, including corporate meetings, weddings, fundraisers, and social gatherings.
  • Collaborate with clients to understand their vision and requirements for each event.
  • Develop event marketing strategies to promote events effectively.
  • Able to create flyers and other promotional materials for Club events for our members.
  • Familiar with back-of-house logistics to maintain and update websites.
  • Manage budgets, negotiate contracts with vendors, and ensure all aspects of the event are within budgetary constraints.
  • Coordinate catering services, including menu selection and dietary accommodations.
  • Oversee logistics such as venue selection, décor, audiovisual needs, and guest services.
  • Provide exceptional customer service throughout the planning process and during events.
  • Upsell additional services or products to enhance client experiences.
  • Maintain organized records of contracts, invoices, and event details for future reference.
