The Vancouver Convention Centre is excited to announce an opportunity for an Event Experience Coordinator to join our dynamic team. Reporting directly to the Director of Event Experience, the Event Experience Coordinator is the multitasking maestro who keeps everything running smoothly behind the scenes. With a talent for taming calendars and shaping crystal-clear communications, you’re the Director’s right hand (and occasional lifesaver). But that’s just part of the magic – you also help craft a vibrant office experience where plants thrive, coffee flows, and the team feels connected and cared for. Whether troubleshooting tech, fine-tuning desk setups, or cheering on a team celebration, you bring a blend of precision, personality, and calm control to every corner of the West Administration workspace.

Responsibilities
  • Master the Director’s schedule with Outlook – booking meetings, managing invites, and organizing meeting logistics like a pro
  • Draft, proof, and polish emails, reports, presentations, expense reports, and documents that strike the perfect tone every time
  • Capture meeting minutes, action items, and next steps with clarity – whether it’s a quick huddle or big brainstorm
  • Track department projects using checklists, shared docs, and Teams channel – keeping progress visible and deadlines realistic
  • Coordinate travel plans from takeoff to touchdown – flights, hotels, itineraries, and backup plans (just in case)
  • Collaborate across teams – gathering approvals, nudging for updates, and keeping momentum alive
  • Keep sensitive information secure and confidential
  • Anticipate needs, solve problems before they appear, and maintain a radar for what’s urgent, what’s bubbling, and what’s drifting off-course
  • Curate a positive, efficient, and well-organized office environment that reflects the energy and hospitality of the Convention Centre
  • Manage office supplies, kitchen stock, and coffee stations – ensuring everything from pens to espresso is always ready to go
  • Addresses problem office areas as required – comes up with creative tactics to ensure teams are all contributing to common areas such as the kitchen (dishwasher) and washrooms
  • Serve as the in-house botanist, caring for office plants and maintaining a green, inviting workspace
  • Coordinate seating and desk assignments with leadership and facilities – keeping workspace arrangements smooth and flexible
  • Liaise with IT, facilities, and vendors to fix what’s broken, upgrade what’s outdated, and ensure systems are running without a hitch
  • Support internal communications and team engagement initiatives, including meetings, events, recognition programs, and wellness activities
