POSITION SUMMARY

The Event Logistics Associate will be a key member of the Marketing team, responsible for strategically planning, coordinating, and executing a wide range of events that advance the company’s brand and business objectives. This role will oversee the end-to-end production of conferences, trade shows, webinars, product launches, and other high-impact marketing initiatives.
The ideal candidate brings strong project management capabilities, a creative and detail-oriented mindset, and proven experience delivering both virtual and in-person events that drive audience engagement, generate leads, and elevate brand visibility. Success in this role will require close collaboration with cross-functional teams to ensure every event aligns seamlessly with broader marketing strategies and goals.

QUALIFICATIONS

  • Bachelor’s degree in Marketing, Communications, Hospitality, or a related field.
  • Experience in event planning or marketing event management.

PREFERRED SKILLS

  • Proven track record of successfully planning, executing, and managing marketing events of various sizes and formats.
  • Strong project management skills, with the ability to manage multiple events simultaneously and deliver them on time and within budget.
  • Experience in digital marketing and using online platforms for event promotion (e.g., social media, email marketing, event registration software).
  • Excellent communication, negotiation, and interpersonal skills to work with both internal and external stakeholders.
  • Ability to work under pressure and handle the logistics of complex events.
  • Strong organizational skills and attention to detail, with the ability to manage resources and timelines effectively.
  • Creative problem-solving skills to manage unexpected challenges during event planning and execution.
  • Certification in event planning or project management (e.g., CMP - Certified Meeting Professional) is a plus.

PHYSICAL REQUIREMENTS & COMPENSATION

This role is required to work onsite 4 days a week from our office in New Haven, CT. The wage range for this role is $40,000 - $60,000 plus benefits.Please note that the base salary range is a guideline, and individual total compensation will vary based on factors such as qualifications, skill level, competencies, and work location.

Responsibilities
  • Plan, organize, and execute marketing events, including trade shows, conferences, product launches, webinars, and customer appreciation events.
  • Collaborate with the marketing team to develop event strategies and ensure alignment with overall marketing and business objectives.
  • Manage all aspects of event logistics, from budgeting and vendor selection to scheduling, promotion, and on-site coordination.
  • Work with external vendors and partners to secure venues, event materials, and necessary resources for events.
  • Develop and manage event timelines, ensuring all deadlines are met and event milestones are achieved.
  • Oversee event promotion, including digital marketing campaigns, social media, email marketing, and website updates to maximize attendance and engagement.
  • Coordinate and manage event registrations, including tracking participants, handling communications, and managing RSVP lists.
  • Monitor event performance, gather feedback from participants, and provide post-event reports that analyze key metrics such as attendance, lead generation, and ROI.
  • Work with internal teams (sales, PR, product, etc.) to ensure proper representation and messaging at events.
  • Ensure that all events adhere to branding guidelines, deliver consistent messaging, and contribute to the company’s overall marketing strategy.
