Description
Grounded in a talent-centric mindset, Maker Lab is a marketing agency designed to build decentralised technology-led agency teams, rooted in collaboration with clients from the ground up. Maker Lab’s cross-functional teams of multidisciplinary specialists are embedded into client teams across digital marketing competencies — from measurement & analytics to content production. Job Summary: We’re seeking an Event Operations Specialist to support the logistics and operations of events, encompassing budgeting, vendor management, registration, and event collateral. Every detail is your domain, ensuring events run smoothly and efficiently while teams deliver seamless, memorable experiences. Some travel is involved in the role. Role: Own end-to-end budgets across all assigned events, including forecasting, tracking, reconciliation, and reporting. Manage vendor relationships, including drafting and executing contracts, generating POs, and maintaining financial compliance. Build and manage event registration, RSVP setups, and event pages on internal and external platforms. Track client nominations and registrations, monitoring progress and providing regular reporting to stakeholders. Execute event communications, including invitations, reminders, follow-ups, and email translations. Organise event collateral such as signage, badges, and printed materials. Oversee digital event logistics, including webinars, pre-event setup, live execution, and post-event follow-up. Maintain structured project trackers and documentation of all event processes, with a focus on scalability and efficiency. Follow up post-event to share content, report attendee metrics, and collect feedback. You: BA/BS degree or equivalent experience 4+ years of experience in event management, event coordination, or operational/logistics support, preferably across multi-country events. Strong project management skills with the ability to manage multiple complex projects independently. Financially savvy with direct experience in budget management, expense tracking, and vendor procurement. Proficient in Google Sheets, Docs, and Slides; familiarity with event registration platforms and basic HTML knowledge is a plus. Detail-oriented, proactive, and thrives under pressure in fast-paced environments. Exceptional verbal and written English communication and presentation skills. Please note: due to the high volume of applications, only successful candidates will be contacted with a follow-up introduction email. If you do not receive an email from Maker Lab, your application has been unsuccessful this time around. Look out for future roles! By submitting your application, you consent to the collection, use and disclosure of your data by the Maker Lab team for the purposes of your application. Where your application contains personal data of third parties, you confirm that you have obtained all necessary consents to provide the Maker Lab team with such personal data and that we may collect, use and/or disclose such data in accordance with the Personal Data Protection Act 2012.
