Responsibilities

THE ROLE

We are seeking a visually minded, curious, and highly motivated Producer to join our dynamic event production team dedicated to advancing the global impact of Bitcoin. You will bring experience in supporting large-scale events and possess a passion for creating human-centric event experiences. This role is perfect for someone who thrives on solving problems, takes ownership, and enjoys creating cohesive, human-centered event environments. You will have a strong background in hotel and event management, and ideally have operated as a solo manager overseeing events end to end. You’ll be proactive in problem-solving and assist the production team in creating a dynamic experience for attendees at the Bitcoin Conference. While this role has opportunities to support our international conferences, this individual will primarily support the flagship event, the Bitcoin Conference.
Success in this role will require an individual who is flexible and collaborative. We pride ourselves on our iterative process, which involves all team members being adaptable and willing to adjust as the event plan comes into focus. You’ll work closely with clients, vendors, and internal stakeholders to ensure every element of the production is aligned, cohesive, and consistent with the overall event vision. This role will also require you to be exceptionally organized and capable of overseeing multiple overlapping product timelines to be successful. You will have experience creating systems at other organizations and will be comfortable offering feedback on current processes to help our team improve.

YOU’LL BE DOING

  • Room and Venue Layout Management: Manage, create, and maintain accurate, up-to-date floorplans and room layouts by collaborating with external clients, venues, and general contractors. Effectively communicate design details and understand functional requirements like room set elements, AV, and F&B, ensuring layout decisions align with event needs. Will be responsible for creating the first draft of the layout for handoff to our general contractor, meaning candidate needs to possess a strong awareness of how design choices impact space functionality. This role will own the meeting room products from concept through on-site execution.
  • Project Ownership & Management: Take an active role in overall project management of various conference-wide products. Will work hand in hand with the product owner to manage the project as a whole, communicate with external stakeholders and vendors. Assist with building cohesive, complete spaces — working with product owners to align furniture, décor, and overall vibe.
  • Venue & Hotel Management: Support travel planning for internal staff and external vendors by translating individual travel needs into comprehensive rooming lists for hotel partners. Demonstrate a solid understanding of room blocks, with past experience managing blocks of 100+ rooms per night, and proven ability to create and maintain systems for tracking rooming changes accurately.
  • Event Production: Actively contribute to the creative process by participating in production brainstorming sessions. Conduct thorough research to identify and secure reliable vendors, ensuring a seamless execution of all aspects of the event. Take ownership of specific projects within the event production, from conception to execution. Your attention to detail and proactive approach will guarantee the successful implementation of key elements.
  • Budget Management: Maintain and manage budgets for each assigned meeting room or small event, tracking projected and actualized costs. Ensure budget accuracy throughout the planning process and provide timely updates to the production team. Proactively identify areas for cost savings or reallocation while preserving the overall event vision.
