The Event Sales Coordinator is a vital piece of our sales and events operation — ensuring that every detail, big or small, is handled with care from the first inquiry to the final guest farewell. This role involves proactive communication, detailed coordination, and hands-on support during events. The ideal candidate is outgoing, organized, and confident speaking with potential clients in person, over the phone, and via email. They will be responsible for maintaining strong relationships with clients, following up on leads, and ensuring that all events at The Barn Resort are executed seamlessly. This position requires flexibility to work evenings, weekends, and holidays to support events and guest needs. Requirements Key Responsibilities Event Coordination & Support · Prepare and distribute Banquet Event Orders (BEOs), proposals, contracts, and any event documentation accurately and on time. · Proactively ensure that all event details are communicated clearly to internal departments. · Be present during events to oversee setup, greet clients, and support operations to ensure a smooth guest experience. · Conduct venue tours, walkthroughs, and final inspections with clients. · Follow up post-event to gather feedback and ensure guest satisfaction. Sales & Client Relations · Actively respond to event inquiries within 24 hours and assist with proposals, pricing, and availability. · Proactively seek out new event and group business opportunities. · Maintain consistent, professional communication with clients throughout the entire planning process. · Collaborate closely with the Sales Manager to ensure all client needs and expectations are met. · Represent The Barn Resort with warmth, hospitality, and professionalism at all times. Administrative & Communication · Keep all event and sales data accurate and up-to-date in the resort’s event management system. · Ensure all documentation, correspondence, and reports meet The Barn Resort’s standards. · Distribute daily and weekly event reports to ensure all departments are informed and aligned. · Prepare sales materials, presentations, and event packets as needed. Team Collaboration · Partner with Food & Beverage, Operations, and Guest Services teams to guarantee successful event execution. · Participate in weekly sales and event meetings to review upcoming events and client needs. · Support management in developing and maintaining positive relationships with repeat and potential clients. Qualifications · Excellent communication and interpersonal skills; comfortable engaging with clients and colleagues. · Highly organized with strong attention to detail and follow-through. · Ability to manage multiple events and deadlines at once. · Comfortable working in a fast-paced, guest-centered environment. · Must be flexible and available to work evenings, weekends, and holidays as required. · Positive attitude and a genuine passion for hospitality and creating memorable experiences. Education & Experience · High School Diploma required; Degree in Hospitality, Event Management, or Business preferred. · Minimum 1–2 years of experience in event coordination, catering, or hospitality sales preferred. · Proficient with computers; experience STS or Toast software is a plus.
