POSITION SUMMARY We are seeking a highly organized and detail-oriented Events Coordinator to join our dynamic Engagement Team. The ideal candidate will be responsible for coordinating all aspects of internal and private events & catering from initial inquiries to execution. This role requires exceptional communication skills, a knack for logistics, technology skills across multiple platforms, and a passion for delivering outstanding customer service. ESSENTIAL FUNCTIONS Events: Serve as the primary point of contact for private events and catering inquiries Work closely with their Engagement Team members and Manager to book events, coordinate booking schedule, and coordinate any catering associated with these events Respond promptly to private event requests and all catering requests by providing detailed information about our services, venue options, menus and availability Collaborate with clients and residents to understand their event needs, preferences, and budget Catering Coordination: Culinary team coordination to get customized menus that align with the client expectations and dietary Coordinate menu approvals between clients and culinary Ensure timely communication of catering details to relevant experience centers Room Setup and Reservations: Oversee the reservation and scheduling of event spaces, ensuring optimal utilization of resources Coordinate with the hospitality/concierge and housekeeping teams for room setup, including layout, design, décor, and audiovisual requirements Maintain an up-to-date calendar of events and room bookings Event Execution: With Engagement Manager – develop event timelines and production scheduled for resident engagement and private events Coordinate the setup, execution and breakdown of events, ensuring all components are flawlessly Liaise with vendors, culinary, suppliers, and team members to ensure smooth event operations Engagement: Engagement Team Member: Schedule will be coordinated with Engagement Team Manager and additional duties such as booking speakers or input into monthly engagement catalog as needed Facilitate weekly BEO meetings Resident Client Relations: Build and maintain strong relationships with residents/clients ensuring their needs and expectations are met or exceeded Conduct post-event evaluations to gather feedforward and identify areas or Address any issues or concerns promptly and professionally Establishes, operationalizes, engages team members in, and sustains a Quality Assurance Process Improvement process This job description is not necessarily an all-inclusive list of job-related responsibilities, duties, skills, efforts, requirements or working conditions.
