This role ensures seamless coordination across departments and delivers high-quality, mission-driven experiences for donors, volunteers, partners, and community members. This is a hybrid position, with at least three days per week in-office or onsite. KEY RESPONSIBILITIES * Support the Associate Director of Special Events in executing cultivation events, fundraisers, conferences, workshops, volunteer events, and donor stewardship activities * Coordinate event logistics including venues, vendors, materials, signage, transportation, supplies, and budgets * Manage guest lists, invitations, RSVPs, and post-event follow-up * Create event materials including email invitations, programs, and promotional items * Oversee vendor relationships (designers, printers, photographers, promotional suppliers) and negotiate pricing * Track expenses, reconcile budgets, and process payments * Partner cross-departmentally to coordinate tours, site visits, and brand visibility opportunities * Provide onsite event staffing and logistical support QUALIFICATIONS * Bachelor’s degree preferred * 1–2 years of experience in event planning, project coordination, or administrative support * Strong organizational skills with the ability to manage multiple concurrent events * Excellent written and verbal communication skills * Collaborative, detail-oriented, proactive, and solutions-focused * Ability to travel throughout NYC’s five boroughs and Long Island TECHNICAL SKILLS * Proficiency in Microsoft Office and Google Workspace * Experience with Canva required; Adobe Suite a plus * Familiarity with mail merge tools, social media platforms (Facebook, Twitter, etc.), and communications software * Comfort learning new systems and event management tools If you’re highly organized, thrive in a fast-paced environment, and want your work to support a mission-driven organization making a real difference in NYC, we’d love to meet you.
