POSITION SUMMARY

AIER is seeking an experienced and highly organized Event Coordinator to plan and execute a wide range of in-person and hybrid events, including donor dinners, public presentations, sponsored events, and special audience gatherings ranging from meetings of legislative staffers to business executives. The Event Coordinator will oversee the full lifecycle of event planning and logistics, ensuring seamless execution and an elevated guest experience. This position plays a critical role in helping AIER strengthen its brand, grow its audience, and deepen relationships with supporters and partners.
The ideal candidate is detail-oriented, solutions-driven, and thrives in a fast-paced environment. This position requires strong project management skills, excellent communication, and the ability to manage multiple moving pieces, vendors, and stakeholders.

QUALIFICATIONS

  • 2+ years of experience in event management, hospitality, or fundraising events.
  • Demonstrated experience coordinating complex events and managing logistics from start to finish.
  • Experience with contracts, vendor negotiation, and budget oversight.
  • Comfort and professionalism in working with VIPs, donors, scholars, and business leaders.
  • Proficiency with Microsoft products and event management tools (e.g., Eventbrite, Cvent, or similar).
  • Familiarity with CRM tools (Salesforce or similar) is a plus.
  • Outstanding organizational and communication skills, with meticulous attention to detail.
  • Ability to travel and work flexible hours, including evenings and weekends, as event schedules require.
