Events Coordinator

The Tŝilhqot’in National Government (TNG) is the official First Nations government serving the Tŝilhqot’in Nation. TNG is located in Williams Lake, British Columbia and serves six communities, including ʔEsdilagh, Tŝideldel, Yuneŝit’in, Tl’etinqox, Xeni Gwet’in, and Tl’esqox.
The Events Coordinator will organize and manage all events hosted by TNG. Responsible for successfully initiating the event through to closure, duties include confirming and delegate list, identify a suitable location, attending the event to ensure that it runs smoothly and successfully closing out the event. Tasks required at the event include setting up and taking down equipment for presentations, ensuring tables and chairs are set up, and that all electronics are in working condition. The Events Coordinator is the single point of contact for all vendors and delegates and is available to answer any questions they may have. After the event, the Events Coordinator is responsible for ensuring expenses are paid and meeting locations is tidied. Evening and weekend hours may be required.
Key Responsibilities
- Oversee the coordination of events including Nation gathering, dinners, and training sessions
- Follow established procedures, collaborate with other employees, and ensure accuracy that events progress seamlessly
- Communicate consistently with Relationship Manager and aid the Relationship Manager at the event, as needed
- Ensure the TNG Events trailer has the appropriate equipment needed for an event before it leaves
- Makes sure the TNG Events trailer is tidy and cleaned after an event
- Collaborate with other staff to develop promotional materials for the event
- Manage internal and external communication, vendors, and suppliers
- Source venues and locations, obtain quotes and conduct site visits
- Administer even budgets and ensure compliance
- Liaise with caterers, exhibiters, delegates and speakers
- Maintain detailed and accurate event files such as exhibiter database, contracts and financial information
- Co-ordinate the delivery of materials to events
- Provide administrative support to the event staff
- Solve problems and/or suggest alternatives to problematic arrangements
- Administrative duties as required
- Perform other related duties as required
Requirements
- Exceptional interpersonal skills, including oral and written communication
- Displays professionalism and confidence, creating a positive impression as an individual and representative of TNG
- Skilled in the use of Microsoft Word, Excel, and publisher
- Ability to multi task and set priorities and meet exacting deadlines
- Be highly organized and detailed oriented
- Have excellent communication verbal and written skills
- Able to perform reasonable physical tasks on occasion
- Must be adaptable and have the capacity to work under stressful, time sensitive conditions
- Knowledge of the Tŝilhqot’in culture and traditions
- Knowledge of Tŝilhqot’in communities and landscapes
- Must have a valid class five driver’s license
Working Conditions
- Travel will be required

- Manual dexterity required to use desktop computer and additional hardware
- Overtime as required
- Lifting or moving up to 25lbs may be required
