Job Summary:
Events Manager to lead the planning, coordination, and execution of all on-site events at our Organic Agriculture Farm. This includes school field trips, corporate retreats, private gatherings, workshops, wellness events, and more. The role involves end-to-end event sales management from initial client contact to final execution, while ensuring alignment with the farm’s mission of sustainability and organic living.
Key Responsibilities:1. Business Development & Sales:
· Identify and develop new event opportunities in key segments: schools, corporate organizations, government bodies, and private clients.
· Conduct market research to understand customer needs and preferences, particularly in the areas of sustainability, wellness, and experiential learning.
· Build strategic partnerships with educational institutions, HR departments, tourism companies, event planners, and eco-conscious community groups.
· Create and sell customized event packages aligned with the farm’s values and offerings (e.g., educational tours, organic meals, farm-based workshops).
· Achieve and exceed monthly and annual sales targets by converting leads into successful bookings.
2. Client Relationship Management:
· Cultivate and maintain long-term relationships with clients, ensuring a high standard of communication, responsiveness, and service.
· Serve as the main point of contact from inquiry through to post-event follow-up.
· Provide tailored proposals and presentations based on client needs, budgets, and objectives.
· Schedule regular check-ins with key accounts and generate repeat business through outstanding service.
3. Event Planning & Coordination
· Lead the full event lifecycle: from initial inquiry, proposal, and contract negotiation to coordination and execution.
· Collaborate closely with the Operations Manager and Head of Food & Beverage to confirm:
o Guest count and demographics
o Event itinerary and timing
o Equipment/setup requirements
o Catering and dietary needs
· Prepare event briefs and schedules for internal departments (farm staff, kitchen, logistics, etc.).
· Ensure all departments are aligned and adequately resourced ahead of each event.
4. On-Site Event Execution
· Be present during events to oversee logistics, coordinate staff, and serve as the on-the-ground contact for clients and vendors.
· Ensure smooth event flow, high guest satisfaction, and immediate response to any operational challenges.
· Uphold the farm’s sustainability and safety standards during all events.
5. Administrative & Reporting Duties
· Maintain up-to-date records of all leads, proposals, contracts, and client interactions.
· Track event budgets, process invoices, and manage contracts in coordination with the finance team.
· Submit regular reports to the General Manager detailing performance metrics, sales pipeline, and upcoming events.
· Collect and analyze post-event feedback to continuously improve offerings and customer satisfaction.
Qualifications & Skills
· Bachelor’s degree in Event Management, Hospitality, Business, or related discipline.
· Excellent organizational skills, an eye for detail, and the capability to multitask across logistical, creative, and operational functions.
· Outstanding communication and interpersonal skills, comfortable liaising with diverse audiences—farm staff, corporate clients, community members, vendors.
· Physical readiness to manage outdoor events under varying weather conditions.
· Flexibility to work on weekends or holidays depending on event schedules.
· Valid driver’s license.
Preferred Experience
· 3–5 years of experience in event sales or hospitality, preferably in an outdoor or eco-tourism setting.
· Proven track record managing outdoor, rural, or farm-based events.
· Understanding of sustainable event management practices and environmental principles.
· Experience with a range of event scales—from small community gatherings to larger festivals or trade shows.
· Experience collaborating with governmental, educational, or community partners.
· Passion for agriculture and sustainable practices, aligned with the farm’s mission.
