Job Description – Gravetye Manor Hotel and Restaurant
Title: Events Sales Coordinator
Hours: 40 per week over 5 days.
Gravetye Manor is a delightful historic hotel set in more than 1,000 acres of tranquil English countryside yet just 30 miles from central London. Job purpose:
Responsible for driving proactive and reactive events sales at Gravetye Manor including private dining, corporate meetings and weddings whilst coordinating and overseeing the seamless delivery of events. The role ensures the service standards expected of a luxury hotel are consistently achieved while meeting agreed financial targets and delivering an exceptional client experience

Responsibilities
  • Work closely with the Events & Marketing Coordinator to ensure the smooth running of the events office
  • Manage and process inbound enquiries, bookings, and communications across all channels promptly and to brand standards.
  • Coordinate event bookings ensuring clear, professional cliet communication at all times.
  • Prepare all relevant event documentation, including function sheets.
  • Contribute to the development of Gravetye’s events offering to achieve revenue targets.
  • Utilise event planning software effectively, keeping up to date with training and new developments.
  • Manage administrative tasks including processing, invoicing, and filing of bookings.
  • Liaise with internal teams and external suppliers (chefs, front of house, musicians, florists, etc.) to ensure efficient event coordination.
  • Proactively promote Gravetye’s events offering by attending local and national events and identifying new business opportunities.
  • Build rapport with prospective clients to convert enquiries into confirmed bookings.
  • Nurture client relationships to encourage repeat business.
  • Conduct venue showrounds (including weekends) with the aim of securing bookings. Undertake any other reasonable duties as requested by the Director of Sales & Marketing.
  • To maintain the standards of Gravetye in keeping with the Michelin star status.
  • To comply all assigned duties according to the Company policy and in line with the Company standards and procedures.
  • To have a full knowledge of and be able to act upon the Fire procedures as laid down in the Hotel Fire Procedure in compliance with the Fire Precautions Act 1971 and to attend Fire Training as requested.
  • To be fully aware of the required standards of Health and Safety in accordance with the Health and Safety at Work Act 1974 and company procedures and to attend Health & Safety Training as requested.
