Description
The Exchange Officer is responsible for processing 1031 exchange transactions and supporting clients throughout the exchange lifecycle. This includes preparing documents, managing transaction workflows, and assisting with onboarding and client support. The role requires attention to detail, strong organizational skills, and the ability to handle more complex exchange scenarios with guidance. TRANSACTION PROCESSING - Prepare and process 1031 exchange documents and agreements using internal systems and templates - Manage a high volume of transactions accurately and efficiently - Assist with banking and funding tasks related to client accounts - Maintain organized client files and reports CLIENT SUPPORT - Onboard and train new clients on exchange processes - Respond to client inquiries via phone and email - Provide ongoing support and escalate issues as needed - Support client relationships with a focus on service and retention EXCHANGE KNOWLEDGE - Apply working knowledge of forward exchanges - Familiarity with parking exchanges is a plus - Support more complex transactions involving: - Related party exchanges - Seller financing - Mixed-use properties - Vacation homes and personal residences - Drop & swap structures - Refinancing and holding period considerations - Understand entity types such as LLCs, partnerships, TICs, DSTs, and corporations TEAM & ADMINISTRATIVE SUPPORT - Collaborate with subject matter experts during client consultations - Provide administrative support as needed to ensure smooth operations - Take on additional responsibilities as assigned Qualifications - 3+ years of relevant experience in 1031 exchanges, title, escrow, or real estate - Bachelor’s degree or equivalent experience - Working toward or holding a Certified Exchange Specialist (CES) designation is a plus - Proficiency with Microsoft Office and cloud-based applications - Strong written, verbal, and interpersonal communication skills - Ability to manage time effectively and work both independently and collaboratively
