WHO WE’RE LOOKING FOR

We’re seeking an Administrative Operations Coordinator who brings operational leadership, project management expertise, and the ability to run point on internal systems and team processes. This is a key role supporting the CEO, clients, and sales team across day-to-day operations.

This is not a junior support or data entry role. We need someone who:

  • Is superbly organized and takes full ownership of operations
  • Has project and team management experience, not just tracking, but building systems from scratch
  • Has worked in or understands digital marketing services
  • Can communicate effectively with executives, clients, and sales professionals
  • Is looking for a long-term position and takes pride in being part of a fast-moving, high-performance team

REQUIRED QUALIFICATIONS

  • 3+ years in operations, project coordination, or administrative management (preferably in a digital agency or SaaS environment)
  • Hands-on experience setting up and managing projects in Asana, Clickup, or similar not just entering tasks but building and structuring project boards, workflows, and automations
  • Proficiency with:
  • QuickBooks
  • GHL (Go High Level)
  • Google Workspace / Microsoft Office
  • Zapier
  • Front (or other shared inbox/ticketing platforms)
  • Strong written and verbal communication
  • Leadership mindset: proactive, accountable, and comfortable working directly with upper management
  • Self-motivated and reliable in a fully remote setting
