With shops in Cody, Worland and Jackson, we are the leading provider of HVAC maintenance, service, and installation for residential and commercial customers in the Big Horn Basin and we are now expanding to Teton County. QUALIFICATIONS

  • Proven bookkeeping experience and comfort working with expenses.
  • Strong organizational and time management skills.
  • Proficiency with computers and the ability to quickly learn new systems.
  • Familiarity with AI tools (such as ChatGPT) preferred.
  • Excellent written and verbal communication skills.
  • Ability to take initiative and work independently with minimal supervision.
  • Willingness to travel to Jackson when needed.
  • Prior experience supporting executives or managing an office is a plus.

Responsibilities

ABOUT THE ROLE

We are seeking a highly organized and proactive Executive Administrative Assistant to support the President and oversee the smooth operation of our Cody office. This role requires a detail-oriented professional who can balance administrative support, office management, and occasional travel.

WHAT YOU’LL DO

  • Provide direct administrative support to the President, including uploading receipts, classifying expenses, and completing forms.
  • Manage the President’s calendar, schedule meetings, and ensure proper preparation and follow-up.
  • Take notes during meetings and track action items to ensure timely completion.
  • Arrange and coordinate travel accommodations.
  • Serve as Office Manager for our Cody location, maintaining a professional and efficient work environment.
  • Answer and direct phone calls as needed.
  • Support bookkeeping tasks and assist with expense tracking.
  • Collaborate with team members and use AI tools (such as ChatGPT) to streamline tasks and improve efficiency.
  • Travel occasionally to our Jackson office when required.
