POSITION OVERVIEW:

This is an exciting opportunity to join our friendly team who are passionate about delivering excellence across INSOL’s global events portfolio. As Events Administrator, you’ll play a crucial role in ensuring our events run efficiently and smoothly.
You will be pro-active, detail-orientated, and eager to learn in a fast-paced environment. This position offers an excellent opportunity for you to use and develop your administrative support and organisational skills to support our renowned events programme.
Part time will be considered (circa 26-30 hours per week).

REQUIREMENTS:

· Proficient in Microsoft Office applications, including Excel
· Excellent organisational and time management skills
· Strong written and verbal communication skills
· High attention to detail and accuracy
· Ability to prioritise tasks and work efficiently in a fast-paced environment

· Team-orientated mindset

  • Previous administrative experience is essential
  • Experience with database management is desirable but not essential

Responsibilities

· Providing administrative support to all INSOL Events, with particular focus on seminars and other key events.
· Draft documents, letters, reports and maintaining calendars for event related activities.
· Organise planning calls and meetings, managing invites and liaising with stakeholders.
· Assist in managing event sponsorship relationships and marketing materials.
· Maintain and improve sponsor, committee and speaker databases, ensuring they are accurate and up to date.
· Compile biographies and photos for speakers and committee members.
· Create minutes and track action points from meetings and calls.
· Collate information post events to maintain event databases, templates and schedules.
· Ensure consistency and accuracy across our website and supporting apps.
· Assist with the production of event badges, printed materials and other event logistics, including management of event vendors.
· Research potential venues for future seminars and events, including localised sponsorship opportunities, tourism, and INSOL projects within the region.
· Support the wider INSOL team with additional administrative tasks as required.
