POSITION OVERVIEW

This is a full-time hybrid Administrative Assistant role located in Toronto, Canada. The Administrative Assistant will be responsible for providing administrative support and acting as an executive assistant to leadership across multiple teams. We are seeking a highly organized, proactive, and resourceful Administrative Assistant to support multiple businesses as needed. The ideal candidate will have 3-5 years of relevant administrative experience, possess strong communication and interpersonal skills, and demonstrate the ability to handle multiple tasks in a fast-paced environment. QUALIFICATIONS

  • 5+ years relevant administrative experience in an office environment
  • Advanced proficiency in Microsoft Office, Google Suite, video conferencing platforms (Zoom, Google Meet and Microsoft Teams)
  • Excellent verbal and written communication skills complemented by exceptional interpersonal skills
  • Highly organized, proactive and resourceful, able to juggle and multi-task, with acute attention to detail and follow through
  • Post-secondary education in office administration or a related field
  • Authorization to work in Canada

Responsibilities
  • Provide day-to-day administrative support to our finance team, the management team and other departments as required
  • Manage and coordinate calendars, schedule meetings, resolve scheduling conflicts, and book boardrooms
  • Coordinate travel arrangements, including booking flights, accommodations, and ground transportation
  • Prepare and submit expense reports and reconcile credit card statements
  • Maintain and organize various databases, files, and records, ensuring all documents are properly scanned and filed digitally
  • Coordinate and organize events, including team-building activities and social events
  • Work closely with IT support to troubleshoot minor technical issues
  • Oversee office supplies, inventory, equipment, and maintenance, and negotiate contracts with vendors as needed
  • Deposit cheques via DepositEdge or at the bank as required
  • Take on any other administrative duties as assigned by management

Office Management Duties:

  • Greet and welcome guests in a professional and friendly manner and manage reception desk
  • Maintain cleanliness and organization in meeting rooms and common areas
  • Arrange catering for meetings as needed
  • Handle incoming and outgoing mail, deliveries, and correspondence efficiently
