Description Ketel Thorstenson, LLP (KT) is seeking an organized and detail-oriented Executive Administrative Assistant to support partners and our Client Accounting Services team in Rapid City, SD. In this role, you will provide high-level administrative, workflow, and operational support to partners, leadership, and staff. You will play a key role in supporting client engagements and coordinating workflow across teams, helping ensure efficient operations, accurate documentation, and exceptional service to both internal teams and clients. This position is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and takes pride in keeping processes organized and running smoothly. Responsibilities include but are not limited to: Provide administrative support to partners and leadership, including calendar management, scheduling, and meeting coordination Coordinate internal and client meetings, including agendas, logistics, and follow-up items Support new client onboarding, including coordination of staff assignments and engagement setup Track engagement progress, manage deadlines, and support workflow coordination across teams Serve as a liaison between clients and internal teams to facilitate communication and information flow Assist with client correspondence, document requests, and engagement-related communication Manage client portals, document uploads, and secure file-sharing processes Support digital workflows, including document processing, e-filing, and file organization Monitor and maintain accurate tracking of documentation, filings, and deadlines (including year-end processes such as 1099s and W-2s) Manage department inbox and coordinate the routing and prioritization of incoming requests Assist with department project tracking and help coordinate workload across team members Support leadership initiatives, internal reporting, and administrative projects Coordinate travel, meeting logistics, and firm events as needed Track continuing education (CPE) and assist with training and development coordination Provide backup support to administrative team functions and assist with office operations as needed Requirements Required Qualifications: High school diploma or GED (Associate’s degree preferred) 3+ years of administrative experience, preferably in a professional services environment Experience with Microsoft Office Suite, including Word, Excel, and Outlook Strong organizational skills and ability to manage multiple priorities Valid State Driver's License Preferred Qualifications: Experience in a public accounting or professional services firm Experience supporting multiple professionals or teams Experience with document management systems, portals, or workflow tools Strong communication and client service skills Additional Information Work Schedule & Location: Full-time position Standard schedule is 32-40 hours per week (non-peak season) Increased hours (up to 55+) required during peak tax season Based in Rapid City, SD.
