Description We are looking for an Executive Administrative Assistant to join our team! The Executive Administrative Assistant will perform a variety of administrative tasks and support our company’s senior-level managers. The Executive Assistant’s responsibilities include managing calendars, coordinating meetings, making travel arrangements, act as the point of contact among executives, employees, clients and other external partners. Managing information flow in a timely and accurate manner. The Executive Assistant will contribute to the efficiency of our business by providing personalized and timely support to executive members. Extensive knowledge and experience in programs such as Microsoft Excel and Office 365 will be essential to the skillset of the Executive Assistant. Essential functions include but are not limited to: Type reports, memos, letters and other documents using relevant computer software. Responds to and resolves administrative inquiries and questions. Answer phone calls and direct calls to appropriate parties or take messages. Record, type and distribute meeting minutes. Greet visitors and determine whether they should be given access to specific individuals. Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution. Perform general office duties such as ordering supplies and maintaining records management database systems. File and retrieve corporate documents, records and reports. Open, sort and distribute incoming correspondence, including faxes and email. Make travel arrangements for executives. Performs other duties as assigned. Requirements Professional Requirements: Excellent verbal and written communication skills. Proficient in Microsoft Office (Word, Excel, Outlook, Teams) Well organized and attention to detail. Able to work independently, manage time appropriately, and think critically. Completes annual education requirements. Maintains confidentiality at all times. Represents the organization in a positive and professional manner. Education/Training: Associates or Bachelor’s Degree in Business Administration or related field preferred 3 to 5 years of previous experience in an administrative role. Basic computer knowledge. Basic knowledge of office equipment. Physical Requirements: Prolonged periods of sitting, standing and walking Requires hand-eye coordination and manual dexterity Requires repetitive motion, including data entry and filing.
