Description Executive Administrative Assistant Department: Administration Reports to: President/CEO Classification: Non-Exempt, Full-Time, In-Person Effective: April 2026 Position Overview GHS Federal Credit Union is seeking a highly organized, detail-oriented, and professional Executive Administrative Assistant to support the President/CEO and Executive Leadership Team. This position plays a critical role in ensuring the smooth and efficient operation of the Executive Office by managing schedules, coordinating leadership meetings, and preparing materials for the Board of Directors. In addition to executive support responsibilities, this role provides administrative assistance to the Human Resources Department, contributing to employee engagement initiatives and supporting key organizational processes. Essential Functions and Responsibilities Executive and Leadership Support Manage calendars and coordinate meetings for the President/CEO and Executive Leadership Team. Schedule internal and external meetings and coordinate meeting logistics. Prepare, review, and edit professional correspondence, reports, and presentations. Track action items and follow-ups from leadership meetings to ensure timely completion. Board of Directors Support Compile and prepare the monthly Board Book for Board of Directors meetings. Coordinate with executive staff to gather reports and supporting materials. Distribute board meeting materials in advance of meetings. Assist with preparation of meeting agendas, minutes, and related documentation. Human Resources Support Provide administrative support to the Human Resources Department. Assist with onboarding documentation and scheduling for new employees. Coordinate interview scheduling and candidate communications. Support employee recognition events, training sessions, and engagement initiatives. Maintain organized and confidential employee documentation. Administrative Coordination Coordinate travel arrangements when required. Maintain organized files and records for executive and board materials. Provide support for special projects and organizational initiatives as assigned. Education and Experience Associate’s or Bachelor’s degree in Business Administration, Human Resources, or a related field preferred. Minimum of three (3) years of executive administrative or senior administrative support experience. Experience supporting executive leadership or board governance is preferred. Strong organizational, time-management, and prioritization skills. Ability to handle confidential and sensitive information with professionalism and discretion. Excellent written and verbal communication skills. Proficiency in Microsoft Office applications including Outlook, Word, Excel, and PowerPoint. Proficiency in Adobe Acrobat Pro preferred.
