SUMMARY DESCRIPTION:

Provide administrative support and assistance to President and executive level staff and provide back up for the receptionist. Provide support and assistance to Sales, Inside Sales and Marketing staff.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

EDUCATION AND/OR EXPERIENCE:

College degree required, additional school and/or training in data processing, administration, and equipment operation. Legal experience is preferred. Technical background helpful. 3 years related experience, executive level preferred, exceptional organizational skills, excellent people skills, good judgment and tact in all communications, and advanced computer skills.

SPECIFIC PROGRAMS AND/OR SKILLS:

Extensive use of Microsoft Outlook, Word, Excel, SharePoint. Presentation skills, and Adobe Acrobat skills are also required.

COMMUNICATION SKILLS:

This individual must possess the ability to communicate with all levels of the organization; as well as, external vendors, business contacts, existing customers and potential customers.

Responsibilities

  • Assist Vice President in financial project management for specific projects.
  • Back up Receptionist during lunch and breaks, and during absences.
  • Monitor, screen, respond to and distribute incoming communications.
  • Act as liaison with internal staff at all levels.
  • Coordinate and maintain executives’ schedules, appointments and travel arrangements.
  • Manage and maintain travel arrangements as needed.
  • Assist Marketing, HR and others with the arrangement and coordination of meetings and events with employees, company partners and external customers.
  • Type and design general correspondences and memos using Word, email and Adobe. Build and manipulate spreadsheets.
  • Works independently and within a team on special nonrecurring and ongoing projects.
  • Coordinate multiple, coincident deadlines.
  • Perform any other related duties as required or assigned.
