SUMMARY Executive Assistant provides executive support. The Executive Assistant serves as the primary point of contact for internal and external contacts on all matters pertaining to the GM. This role must have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, takes initiative and is forward thinking with the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. This individual must be able to seamlessly perform a wide variety of tasks such as: handling phone calls, maintaining meeting/appointment calendars, coordinating domestic and international travel and meeting reservations, creating and/or reviewing correspondence and reports; coordinating mail and documents for signature and other request as needed. PRIMARY RESPONSIBILITIES AND ESSENTIAL FUNCTIONS: Completes a broad variety of administrative tasks for the General Manager including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans. i.e. itineraries, and agendas; and compiling documents for travel-related meetings. Plans, coordinates and ensures the GM’s schedule is followed and respected. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the General Manager, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Works closely and effectively with the GM to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Build internal and external relationships crucial to the success of the organization, and manages a variety of projects for the GM. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Assists in coordinating the agenda of team meetings and staff meetings. Have strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Demonstrated proactive approaches to problem-solving with strong decision-making capability. Displays emotionally maturity. Highly resourceful team-player, with the ability to also be extremely effective independently. Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment. Forward thinker, who actively seeks opportunities and solutions. Team oriented both with supported executive as well as other Executive Assistants with the organization by cross training and acting back up. Screens incoming calls professionally, takes messages and routes calls to appropriate individuals as necessary and provides appropriate level of information and assistance. Develops and maintains organized filing system to ensure readily available. Coordinates catering and facilitates set up for meetings. Other duties and responsibilities as assigned. QUALIFICATIONS & EXPERIENCE 5+ years of experience as an Executive Administrative Assistant directly supporting senior management is required EDUCATION & SKILLS Bachelor’s degree (BA) strongly preferred or equivalent work experience Advanced-level written and verbal communication skills Experience with systems for expense reporting, travel, etc. Excellent interpersonal and communication (verbal and written) skills Expert level written and verbal communication skills. CERTIFICATES, LICENSES, REGISTRATIONS N/A COMPUTER/TECHNICAL SKILLS Advanced MS Office (Word, PowerPoint, Excel, Outlook) PHYSICAL DEMANDS While performing the duties of this job, the team member is regularly required to talk or hear. The team member frequently is required to sit; have flexible use of hands; reach with hands and arms; and stoop, kneel, crouch, or crawl. The team member is occasionally required to stand, walk, and taste or smell. The team member must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 - 50 pounds.
