Description Position Summary The Executive Administrative Assistant will provide high-level administrative support to executive leadership and serve as a key liaison for HR coordination. This role requires exceptional organizational skills, discretion, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is a professional problem-solver who thrives in maintaining structure, efficiency, and confidentiality across all administrative and HR-related functions. Key Responsibilities Provide comprehensive administrative support to executive leadership, including scheduling, filing, meeting coordination, and correspondence. Prepare and edit reports, new hire onboarding materials, presentations, internal newsletters, and communications. Assist with recruitment activities, background and reference checks. Support onboarding and offboarding processes for employees. Maintain employee records and personnel files in compliance with company policies. Help coordinate training sessions and HR communications. Manage office operations and supplies. Support internal communications, staff events, and organizational initiatives. Additional duties as assigned by supervisor PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. While performing the duties of this job, the employee is regularly required to express oneself and exchange information both verbally and in writing. The employee is frequently required to move about the office environment; operate a computer and other office machinery; and move or transport files or other items to meetings and other office spaces. This is largely a sedentary role; however, some filing is required. The ability to open filing cabinets and bend or stand on a stool as necessary is required. Although infrequent, this position may assist the Resident Coordinator in completing drug-screening on clients; therefore, the employee must have the ability to assist with procedures and complete necessary cleanup in accordance with KPEP requirements. Report To: Director of Human Resources Accountable To: Chief Operations Officer, President/CEO and KPEP Board of Directors Requirements Qualifications High School Diploma; Associate’s or Bachelor’s degree in Business Administration, preferred 3+ years of administrative or executive assistant experience; HR experience strongly preferred. Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and HRIS systems. Excellent written and verbal communication skills. High attention to detail, strong organizational skills, and a proactive approach to problem-solving.
