Salary-exempt position - $45,000 to $55,000 per year, commensurate with qualifications and experience Apply online here Duties This list outlines the primary administrative responsibilities for supporting executive leadership, including the CEO, CFO, COO, and Senior Department Managers, as well as managing essential office functions. Support · Coordinate and manage complex calendars, including scheduling meetings, appointments, and travel arrangements for executives. Both professional and personal appointments. · Prepare and distribute executive correspondence, reports, presentations, and meeting materials. · Screen and prioritize incoming emails, phone calls, and requests for the CEO. · Arrange and facilitate executive meetings. · Handle confidential information and sensitive documents with discretion. · Assist with planning and preparation for board meetings, quarterly reviews, and leadership retreats. · Coordinate cross-departmental communication and project tracking for executive initiatives. · Support executive expense reporting, reimbursement processes, and budget tracking. · Complete ad hoc projects/tasks as needed. Office Supplies & Maintenance Management · Monitor inventory levels and reorder office supplies as needed to ensure uninterrupted operations. · Evaluate suppliers and negotiate contracts for office products and services. · Maintain organized storage and distribution systems for office supplies. · Track supply usage and manage budgets for procurement. · Schedule routine office maintenance, including cleaning, repairs, and equipment servicing. · Serve as the point of contact for building management, contractors, and service providers. · Monitor maintenance requests and ensure timely resolution of issues. · Maintain records of maintenance activities and compliance with safety regulations. · Manage incoming and outgoing shipments. · Assist with coordinating workspace assignments. · Maintain up-to-date office procedures documentation. · Support general office operations and contribute to a positive work environment. Event Planning · Organize company events, meetings, and conferences, including venue booking, catering, and logistics coordination. · Manage invitations, RSVPs, and attendee communications for internal and external events. · Oversee setup, audiovisual requirements, and troubleshooting during events. · Coordinate with vendors and stakeholders to ensure successful event execution. · Prepare event materials and follow up on post-event evaluations and reporting. Some days these activities will be infrequent, and other days will happen multiple times per hour. Other physical requirements may be added as needed, to allow employees to perform the job safely and in compliance with company, local, state and federal regulations and requirements as applicable. Travel requirements: Person will occasionally travel to other MI company locations, as well as run company errands (shopping, event planning, mail/packages, etc). Person will use a company pool car.
