OVERVIEW

We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to our Chief Operating Officer. This role is pivotal in ensuring smooth operations within the office and across three diverse business operations and requires a professional who can manage multiple tasks efficiently. The ideal candidate will have strong communication skills, exceptional attention to detail, and the ability to maintain confidentiality while handling sensitive information.

REQUIREMENTS

  • Proven experience as an Executive Administrative Assistant or in a similar role.
  • Proficiency in Outlook Calendar management and other Microsoft Office applications.
  • Strong customer service skills with a friendly demeanor.
  • Experience in event planning and coordination is highly desirable.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Familiarity with QuickBooks is a plus but not mandatory; willingness to learn is essential.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong written and verbal communication skills.

QUALIFICATIONS:

  • At least a Bachelor level degree or equivalent
  • Prior experience in an administrative or customer service position
  • High level of proficiency with Microsoft Office products, and familiarity with information technology, computers, and web-based systems.
  • Self-starter and creative problem solver, with strong interpersonal and organizational skills, including the ability to communicate effectively (both orally and in writing) and efficiently prioritize responsibilities.
  • Enthusiastic, organized, highly motivated, responsible, courteous, flexible and creative. Must have a sense of humor.
  • Availability to be physically present at TSM offices.

Responsibilities
  • Manage the Outlook Calendar for Chief Executive Officer, schedule appointments and coordinate meetings.
  • Manage incoming calls with professionalism.
  • Deliver outstanding customer service by addressing inquiries and resolving issues promptly.
  • Assist in personal assistant duties, including travel arrangements and personal scheduling as needed.
  • Offer executive administrative support by preparing reports, presentations, and correspondence.
  • Plan and coordinate events, including meetings, conferences, and team-building activities.
  • Maintain organized filing systems for both physical and digital documents.
  • Demonstrate computer literacy by utilizing various software applications effectively, including QuickBooks for basic financial tracking.
