Executive Administrative Assistant
Hospitality & Hotel Group Location: Vancouver, BC
Onsite Salary: C$52,000–60,000 annually (C$26–30/hr)
Looking for a role where no two days are the same? AJ Hospitality is a growing hospitality and hotel group with multiple restaurants, venues, and hotels under management. We’re seeking a resourceful, organized, and creative Executive Administrative Assistant to support our leadership team. This is an onsite role with exposure to multiple properties. You’ll provide critical support to executive leadership while helping ensure efficient administrative processes that align with our commitment to guest satisfaction.

Responsibilities
  • Executive & Multi-Property Support: Manage executive schedules, coordinate meetings, handle correspondence, and maintain communication across properties.
  • Guest, Staff & Front Desk Support: Provide exceptional customer service to guests and staff; support front desk operations; manage multi-line phones when needed.
  • Government Liaison & Compliance: Handle permits and renewals (business, liquor, health, hotel licenses); liaise with government agencies; prepare documentation for new property openings.
  • Finance & Accounting Support: Use QuickBooks to support the accountant with data entry, reconciliations, expense tracking, and records organization.
  • Creative & Marketing Support: Manage social media (Facebook, Instagram, TikTok); create branded content using Adobe Photoshop, Canva, and Mailchimp; support promotional campaigns.
  • Office & Administrative Management: Organize and maintain files, records, and documentation; ensure office supplies are stocked; use Microsoft Office Suite and Google Workspace.
  • Vendor & Partner Coordination: Contact businesses for quotes; manage procurement across hotels, restaurants, and venues; maintain vendor relationships.
