POSITION SUMMARY:

We are looking for an Executive Administrative Partner to support smooth and efficient office operations while providing critical administrative support to the Executive Operations Manager and CEO office. This individual will serve as the first point of contact for employees and visitors, coordinate internal office logistics, and support the planning and execution of high-level meetings and events. The ideal candidate is highly organized, personable, and proactive, with strong communication skills and the ability to manage confidential information with discretion.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • Bachelor degree preferred.
  • Minimum 10 years of receptionist, administrative or executive support experience preferred.
  • Experience with Microsoft Office Suite; experience with document management tools is a plus.
  • Experience with SAP Concur or similar travel management tools
  • Demonstrated integrity, discretion, and judgment in previous roles.

Responsibilities
  • Acts as the first point of contact for all employees and visitors to the TARGAN facility.
  • Screens all incoming phone calls and inquiries.
  • Ensures that non-disclosure agreements are completed and filed accordingly.
  • Purchases and maintains inventory of branded items and general office supplies.
  • Assists Executive Operations Manager with administrative tasks related to the CEO office.
  • Supports scheduling and logistics for internal events such as Town Halls, Board Meetings, and other company-wide gatherings.
  • Assists in planning and execution of onsite meetings and facility visits.
  • Maintains confidentiality of highly sensitive information.
  • Supports coordination of general office operations including mail, shipping, deliveries, and vendor interactions.
  • Assists with internal communications and document preparation as needed.
