JOB SUMMARY:

The Executive Administrator will serve as a strategic partner to the C-suite and senior leadership team, managing complex calendars, coordinating communications, and supporting the advancement of organizational priorities. This role requires a high level of adaptability, discretion, and the ability to perform effectively in a fast-paced environment while anticipating needs and maintaining professionalism under pressure.

QUALIFICATIONS:

  • 7+ years of executive administrative support experience.
  • Exceptional organizational and time-management skills, with strong attention to detail.
  • Excellent verbal and written communication.
  • Discretion in handling confidential information.
  • Proficiency with Microsoft Office Suite, SharePoint, and document management tools.
  • Prior exposure to contract administration or legal process tools is preferred.
  • Comfortable supporting multiple leaders with competing priorities
  • Familiarity with sustainable technologies or tech startups is a plus.

Responsibilities
  • Provide day-to-day administrative support to a busy team of executives, including but not limited to scheduling, inbox organization, correspondence, and meeting coordination.
  • Coordinate domestic and international travel arrangements, including detailed itineraries and expense reconciliation.
  • Prepare meeting agendas, take notes, and manage follow-up on key action items. Facilitate logistics for meetings, board sessions, and executive events.
  • Support special projects and cross-functional initiatives as needed.
  • Anticipate executive needs and proactively address administrative or operational tasks.
  • Help ensure the leadership team is focused, informed, and operating efficiently
