This position will be in-office at DOXA Headquarters in Fort Wayne, IN. Position Summary: The Executive Administrator provides high-level administrative support to senior executives, ensuring the efficient operation of the executive office and effective communication across the organization. This role requires discretion, professionalism, and strong critical thinking to anticipate needs, prioritize competing demands, and make informed decisions based on executive preferences and organizational priorities. The Executive Administrator thrives in a fast-paced environment while maintaining accuracy, confidentiality, and seamless coordination. Key Responsibilities: Serve as the main point of contact for executive scheduling, exercising judgment and critical reasoning to balance stakeholder requests with executive preferences, organizational priorities, and timely escalation of critical matters. Arrange travel plans, itineraries, and accommodations for executives. Coordinate logistics and event/meal coordination and logistics for meetings, conferences, and special events. Screen and direct phone calls, emails, and other communications to appropriate parties. Maintain confidential files and records, ensuring data security and privacy. Assist in the preparation and tracking of budgets, invoices, and expense reports. Act as a liaison between executives and internal/external stakeholders. Prepare and edit correspondence, reports, presentations, and other documents as needed. Oversee supply management for the Fort Wayne corporate office, including management of supply vendors. Adapt to evolving priorities by taking on additional projects and responsibilities as directed by senior leadership. Requirements High School Diploma or GED Required Minimum of 5 years of experience in executive support or administrative roles. Exceptional organizational, written, and verbal communication skills. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software. Demonstrated ability to prioritize, manage multiple demands, and make sound decisions under pressure. Professional discretion and ability to handle sensitive information. Proven ability to work independently while fostering collaboration across multiple stakeholders. Excellent problem-solving and decision-making abilities.
