Description

We are seeking a highly organized, tech-savvy, and proactive Executive Administrator to support our leadership team. This role is critical to ensuring operational effectiveness, timely execution of executive tasks, and coordination across key business functions such as marketing, HR, legal, finance, and IT.
The ideal candidate is someone who thrives in fast-paced environments, has high attention to detail, and can independently drive administrative and cross-functional initiatives while exercising discretion and professionalism.

REQUIRED QUALIFICATIONS (MUST-HAVES)

  • 3–5+ years experience as an Executive Assistant or Administrator directly supporting senior executives (Director level or above)
  • Strong AI literacy with proven experience using ChatGPT, Gemini, or similar tools
  • Advanced proficiency in Google Workspace (Docs, Sheets, Slides, Calendar, Gmail)
  • High-level discretion, autonomy, and polished professional communication
  • Clear Criminal Background Check
  • Advanced proficiency with Canva for presentation and document design
  • 2–3 Professional references from senior executives at prior companies

PREFERRED QUALIFICATIONS (NICE-TO-HAVES)

  • Eye for creative/design aesthetics, especially in Canva
  • Hands-on experience in event planning, logistics, or trade show support
  • Previous experience in the sales industry (2+ years preferred)

Responsibilities

Event Support & Coordination

  • Collaborate with the Marketing team on company and customer-facing events
  • Manage vendor relationships and communications
  • Handle logistics for event planning, coordination, and on-site execution

Executive & Administrative Support

  • Work closely with Executives to complete confidential and time-sensitive tasks across HR, Legal, and Finance
  • Partner with Department Managers to support project launches and administrative needs

Meeting & Presentation Management

  • Plan, coordinate, and manage executive meetings (virtual and in-person)
  • Own deck creation, agenda planning, scheduling, and post-meeting follow-ups
